Organizational Unit Overview:

Campus Living, Dining Services & Transit are three of the largest auxiliary services departments on the campus. These departments are totally dependent on generated income.

Campus Living has responsibility for a complex system of operations and services which include sixteen residence halls housing 5,5400 resident students and an operating budget exceeding $18 million annually, and Dining Services, with twelve locations, an average of over 5,500 meal plans, and an operating budget that exceeds $13 million. These Functional Areas in Campus Living include Facility Management: Physical plant maintenance, repair and replacement process, renovations, housekeeping, and capital projects. Fiscal Management: Budget preparation, fiscal monitoring, accounts payable and receivable, debt service accounting, purchasing, payroll, and personnel. Administrative Services: Contracting and leasing, strategic marketing, policy and procedure establishment, summer conferences, neighborhood service office operations, recent operations, computer lab establishment and operations, customer service training, assessments, and cable TV services. Residence Life: Live-in professional staffing, paraprofessional staff, community development, academic support programming, student activities, resident disciplinary process, staff selection, staff development and training, collaborative programming with other departments, resident advisor class development and instruction, on-call response system, counseling, educational programming, and individual growth opportunities. It is essential that the department be run as a successful business venture while conforming to the guidelines set forth in the federal, state, and university policies. Constant vigilance is required regarding the appropriate dispersal of income. Revenue must be generated to cover expenses including overhead charges and to allow for continued growth. Job Duties :

The primary purpose of the Business Services Coordinator is to provide support for all business, human resource, and financial functions within the Department of Campus Living. Working with an annual budget of $50+ million, financial management is a major component of this position. The person in this position has to have knowledge of the departmental, university, UNC, and NC fiscal policies and procedures as well as the ability to conduct financial duties including, but not limited to, accurately compiling and summarizing financial data, performing budget analysis, budget variance reporting and forecasting. This position is responsible for independently managing the campus living student employment process, encompassing more than 250 students, a student payroll of over $700,000 annually, and for ensuring all student payroll is submitted accurately, on time, and in accordance with university procedures. The Business Service Coordinator is a key position for all Campus Living HR/Personnel actions and has to consistently exercise knowledge and ability in all areas of human resource management within the department as well as the university. Other major responsibilities of this position include monitoring employee leave records for discrepancies and working with the employee and ECU personnel to correct any reporting errors, reconciling departmental deposits to ensure monies are properly accounted for, processing, preparing payroll redistributions, and completing any forms necessary to accompany HR actions. Additional key responsibilities include facilitating the purchasing needs of the department, daily reconciliation of CBORD, Touchnet, and Banner student on-line payments, reconciling all student housing adjustments to their Cashier accounts, and responding to inquiries regarding Campus Living charges to student accounts. The Campus Living UStore is overseen by this position. With multiple products, including apartment rental fees, transit RDU shuttle tickets, and registration fees, this position requires knowledge of multiple systems to ensure transactions are completed accurately and revenue is deposited into the correct account. The position is responsible for adding all products to the UStore and working with eCommerce staff to resolve issues as they arise and to update the UStore as necessary. The functions of this position are critical to the mission of Campus Living and the Division of Student Affairs. The ability to work independently and make sound decisions regarding all facets of the business operations of the unit is essential. This position must possess the ability to suggest, create and implement procedures to keep Campus Living in compliance with University and Campus Living policies, monitor outcomes, and make adjustments to ensure expectations are met. This position directly supervises the Administrative Support Specialist (#922193) and the student position within the business office. Evaluating, monitoring, and providing guidance to both positions is the responsibility of this position. This position trains all new staff hired by the department concerning University, Departmental, and Division policies and procedures. The Business Services Coordinator is the delegation of authority for the rollup org 42 in the absence of the Associate Director for Finance in Campus Living.

Minimum Education/Experience:

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Bachelor’s degree in business administration or related discipline, and experience utilizing ECU’s financial and human resource systems such as Banner, Chrome River, ECUBIC, PeopleAdmin, and PORT
