Departmental Overview

University Development and Alumni Relations (UDAR) helps build Berkeley's excellence through communications, public outreach, and fundraising, all to raise public awareness about Berkeley and increase private philanthropy. UDAR provides overall direction for the campus's philanthropic advancement strategies and strengthens campus unit development in partnership with campus fundraisers. It handles a range of central activities and services encompassing prospect development, communications, donor stewardship, gift management, database management, and more.

Constituent Programs

Within UDAR, the Constituent Programs team works closely with deans, directors, and development leaders across the University's advancement community on strategy setting, culture change, and organizational performance to optimize fundraising strategies and help campus reach philanthropy goals. The Associate Vice Chancellor - Constituent Programs (AVC/CP) partners with and leads--through a shared reporting line with the deans and program directors--the chief development officers of campus fundraising units.

In April 2019, the College of Letters & Science College Relations division and UDAR formed a partnership to provide greater collaboration and coordination of advancement strategy and services as the University embarked on the largest capital campaign in its history. Through that partnership, the AVC/CP partners with L&S deans and development leaders on strategy setting and organizational performance, and the Constituent Programs team provides stewardship, communications, and advisory board support to the College.

The AVC/CP also oversees UDAR's Prospect Development department and the Advancement Internal Communications group, which facilitates information sharing and collaboration in the campuswide development and alumni relations community.

Position Description

The Development Assistant, Constituent Programs provides administrative support to the Associate Vice Chancellor (AVC) - Constituent Programs in all of the areas of work outlined above. The Development Assistant will operate as an integral member of the CP team, while taking on a variety of assigned tasks and projects as a partner in supporting campus fundraisers. This work requires active, thorough listening, rapid acquisition of knowledge about Berkeley's fundraising programs and priorities, and the ability to work independently and prioritize among competing demands.

Responsibilities

Administrative Support
    Facilitate communication between AVC/CP and a variety of University departments; draft edit/format and proof routine and complex correspondence Create agendas and minutes for meetings led by AVC/CP Respond to email and telephone inquiries and correspondence on behalf of the AVC/CP Schedule meetings with prospects, faculty, and administrators Develop briefing materials for AVC/CP meetings Work on special projects and work teams as needed (assistance with coordinating special events, campus visits, and high level meetings) Make travel arrangements as needed and prepare and submit for processing complex travel reimbursements and expense reports Prepare purchase and work orders, track payables and receivables and follow-up on payment of outstanding invoices and reimbursements

Information Systems and Data Entry
    Perform inquiry functions using the CADS database (campus donor database); enter and retrieve data from system; create query sentences for extracting data from system or calculating fundraising totals Manipulate and present data in a number of end-user applications (Work, Excel, PowerPoint) Enter contact reports in CADS utilizing information from briefings, correspondence and e-mails Update biographical information in CADS as necessary Create and produce custom CADS invitation lists for special program events.

Required Qualifications

This position will be best suited for an individual who has several years of development administrative experience, and who is looking to develop a career in higher education advancement. Particular skills and qualities include:

Skills and Knowledge
  • Strong analytical and critical thinking skills.
  • Strong writing skills; logical and readable organization; proficiency with grammar, syntax, style and punctuation.
  • Outstanding organizational skills; exceptional attention to detail and follow-through.
  • Knowledge of/experience with conducting research and analysis through databases/online information systems.
  • Excellent written and interpersonal communication skills to establish and maintain good working relationships throughout the campus and with external constituencies. Attention to detail is important.
  • Knowledge of fundraising and donor relations concepts, principles, and practices.
  • Knowledge of the UC Berkeley campus or experience in a complex, multi-disciplinary environment.
  • Ability to work with high-level alumni, donors, and campus leadership.
  • Tact, discretion, and sound judgement, including in handling confidential information.
  • Ability to work successfully in teams and under own initiative, as well as the ability to shift priorities, handle multiple assignments, and meet deadlines.
  • Strong computer skills (MS Word, Excel, Outlook), with a proven ability to learn new technical skills quickly and proficiently.

Education/Training:
  • Bachelor's degree and/or equivalent experience/training.
