Job Description Summary

The Financial Aid Manager is responsible for application review, timely execution of financial aid packages, monthly reconciliation of state and federal funding, return of Title IV aid, Satisfactory Academic Progress evaluations and supervising processing staff. The Financial Aid Manager will focus on an area of expertise while maintaining broad knowledge of the financial aid office functionality. The Financial Aid Manager will report to an associate director of financial aid.

Job Description

Duties and Tasks:

  • Ensure all functions related to application review, determination of student eligibility, fund awarding and disbursement are performed timely and accurately.
  • Ensure federal funds processing including origination and disbursement reporting, error resolution, R2T4 calculations, reporting and communication, and monthly reconciliations are performed timely and accurately. Ensure disbursement schedule is communicated with Business Affairs.
  • Ensure state aid processing is conducted timely including determining eligibility, awarding, reporting and reconciliations are performed timely and accurately; and within compliance. Assist with audit reviews.
  • Ensure Satisfactory Academic Progress (SAP) evaluations are completed each term. Provide clear timely communication to students and advising staff concerning SAP status. Manage SAP appeals and communicate results to student timely.
  • Ensure all federal, state and institutional rules and regulations are adhered to. Ensure all processing functions are executed within compliance. Assist with audit reviews.
  • Manage SFS Help Desk ticketing system to ensure timely resolution of processing tickets.
  • Ensure critical thinking and problem-solving skills are used to thoroughly research and document student requests and provide issue resolution following established procedures; and maintains research documentation. Uses superior communication skills to provide outcomes.
  • Develop and manage financial aid processors to create a supportive, open environment for employee development. Supervise assigned staff by providing coaching sessions, completing mid-year and annual evaluations and managing attendance. Develop staff by providing clear processes to ensure employees have a solid understanding of their roles and responsibilities. Monitor to ensure timely and accurate completion of assigned tasks and adequate operational coverage.
  • Work closely with all levels of management and peers;
  • Communicates solutions and devises standards of procedure to ensure process improvement, compliance, accuracy, and student satisfaction.
  • Remain current on federal regulations, state regulations, and office policies and procedures.
  • Participate in special events and evening and weekend work as needed.
  • Maintain confidentiality of work related information and material.
  • Create and sustain a culture that consistently supports our institutional core values.
  • Perform other duties as assigned to assure successful achievement of the department’s goals.
  • Some travel to campus and other Saint Leo locations required.


  • Demonstrate leadership ability and utilization of administrative systems in an enrollment management focused financial aid environment.
  • Strong knowledge of financial aid regulations.
  • Excellent interpersonal and communication skills; writing composition.
  • Demonstrated critical thinking skills.
  • Demonstrated competencies working in a technology driven operation.
  • Ability to work collegially and collaboratively within a team and able to react and adjust quickly to changing conditions.
  • Employment is dependent upon successful access to the National Student Loan Data System, which requires all federal student loans to be in good standing and not in default and a credit check to review that student loans are not in default.


  • Bachelor’s degree from a regionally accredited college or university, preferably in a related field.
  • Minimum of three years of financial aid operations and/or administrative management experience.
  • Experience with Colleague preferred.


  • Demonstrated critical thinking skills and ability to work successfully with cross-functional teams.
  • Detail oriented, excellent time management skills.
  • Superior organizational skills; ability to execute multiple objectives concurrently.
  • Proficient with Microsoft Word and Excel.


  • Ability to react and adjust quickly to changing conditions.
  • Ability to multi-task daily.
  • Ability to produce a high volume of quality work, timely and accurately.
  • Ability and willingness to work occasional evenings and weekends.
