Executive Assistant to the Dean of the College

Knox College invites applications for the full-time position of Executive Assistant to the Dean of the College, responsible for serving as an intersection point for the College’s activities and overseeing and managing the daily operation of the Dean’s office. The Executive Assistant reports to the Provost and Dean of the College.

Essential Duties:


  • Oversee the annual calendar of activities in the Office of the Dean of the College
  • Handling confidential correspondence, including emails, telephone, and in-person communication
  • Maintaining confidential and non-confidential office files
  • Monitoring budgets and financial matters associated with the Provost/Dean of the College
  • Assisting in preparation of Board of Trustee materials
  • Providing clerical and administrative support to the Provost/Dean of the College and, with the support of an administrative assistant, supports the work of the Associate Dean of the College
  • Responding to inquiries from faculty, staff, students, parents, and visitors to the College
  • Monitoring and updating websites and office databases, as needed
  • Assisting with events on campus sponsored by the Dean’s office
  • Coordinating among the Dean’s Council offices and the department and program chairs
  • Overseeing the work among the administrative assistants in Academic Affairs

Education and Experience:

Required:

  • Five years progressively responsible experience in a relevant field such as education or law

Preferred:

  • Bachelor’s or Associate’s degree is preferred but training and experience in a relevant field (such as legal administration) will be considered

In addition, the successful candidate will:


  • work and communicate successfully with a diverse academic community with respect for multiple perspectives and approaches
  • be willing to acquire a thorough knowledge of practices and procedures at Knox
  • experience successfully working with confidential and sensitive information
  • exceptional oral and written communication, planning, project management, and interpersonal skills
  • proficiency in basic office productivity software (Google apps, MS Word and Excel) and capacity to develop skills with new software
  • excellent judgment and ability to work independently, with a strong ability to assume initiative by identifying required tasks and completing them with little supervision in an environment that requires responsiveness to the College community
  • demonstrated cultural competence and effectiveness in serving the needs of a diverse community
  • an appreciation for the residential liberal arts college experience and a willingness to work collaboratively within a highly consultative campus culture
