Position Summary:

Florida Atlantic University is seeking a Program Assistant, Boca Raton, FL.

Summary of Responsibilities Include:

  • Assist with all aspects of Counseling & Psychological Services front desk and clinical support functions which involve an electronic health record and associated processes and procedures.
  • Greet clients upon arrival, check appointment status, verify eligibility and insurance, complete check-in/check-out procedures, verify that confidential documents are updated in EHR. Maintain confidentiality of medical records and of patients'/student' personal health information at all times. Answer in person and telephone inquiries. Operate scanning equipment to process clients’ documents.
  • File documents, as necessary. Assist with sending electronic documents and uploading documents for electronic health record, Schedule student appointments, as necessary. Maintain client appointment system with accuracy, appointments which are highly confidential in nature. Answer telephone inquiries and serve as a liaison with FAU students, clients, faculty, and staff internal and external to CAPS and larger community.
  • Interact and communicate effectively with students, clients, clinicians, staff, faculty, administrators, verbally and in written communications.
  • Maintain up to date inventory and stocking of health promotion materials. Oversee office orders of supplies and promotional materials. Open purchase orders and submit invoices, in accordance with university and divisional purchasing policies.
  • Work with professional staff to manage data tracking of office programs and services (includes events, workshops, and health promotion materials.)
  • Perform any other duties as needed for the smooth operation of the office. Must comply with a federal, state, and university regulations and statutes, as well as internal policies and procedures.
  • Work to foster and maintain a collaborative, engaging, and positive work environment for all students and staff. Participates in assessment, accreditation, quality improvement, and regulatory compliance.
  • Participate in activities, both internal and external to CAPS in order to champion the health of the college student population, advance the mission of CAPS, and support the missions of the Division of Student Affairs & Enrollment Management and Florida Atlantic University.

Minimum Qualifications:

A high school diploma or equivalent and four years of appropriate experience required. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Excellent verbal and written communication skills are essential to success in this position.

Must be proficient in Microsoft Office programs such as Word, Outlook, PowerPoint and Excel.

Must also have excellent customer service, organizational and time management skills.

Salary:

$15.25 - $15.57 per hour
