Primary Function of Organizational Unit:

TEDI BEAR Children’s Advocacy Center is part of the Department of Pediatrics and accredited by National Children’s Alliance to provide 1) comprehensive evaluation and treatment of children who have been referred because of suspected abuse and/or neglect; 2) a resource for professionals in eastern North Carolina responsible for the protection and safety of children; 3) child abuse education and prevention to professionals, the community, students, and; 4) promoting collaboration and providing training and guidance to advance child abuse knowledge as well as promote the interagency and multidisciplinary response to child abuse.

Job Duties :

This position provides support to all aspects of the TEDI BEAR CAC, Department of Pediatrics, including patient registration and processing of new and returning patients to ensure appropriate billing and reimbursements; data management of patient information at intake and during service delivery for accurate tracking of all onsite services; supporting all TEDI BEAR employees to capture essential information necessary for reporting and medical documentation. Supports team of medical providers, Director, Therapists, Social Workers, Child and Family Advocates, Outreach Coordinator, Community Educators, and other members. Works with visiting professionals (LE and DSS) to secure legal documents necessary for service delivery. Responsible for monitoring reception area and phone system, securing interpreters when indicated, routing all incoming calls for all onsite staff. Processing medical and mental health intake paperwork and registration (obtaining insurance information and documentation), securing signatures, consents, and waivers, explaining rights, and providing instructions and policies/practices. Completes patient data entry into electronic record with thoroughness and detail using complex NCAtrak database. Checks accuracy to ensure all services are appropriate captured to reflect activities at TEDI BEAR used for monitoring and reporting to sponsors. Completes intake forms, creating medical and mental health files with multiple forms and templates. Creates staffing agenda for weekly review of cases. Maintains donor database and drafts recognition letters. Provides daily reminder telephone calls to therapy patients. Provides travel paperwork for TEDI BEAR employees and monitors expenses and reimbursements through online travel system through working with PEDS department and travel offices. Orients new staff on office processes and equipment. Completes monthly office news bulletin and emails summary of business items from weekly staff meetings.

The ECU Brody School of Medicine is affiliated with Vidant Medical Center. Vidant Medical Center is the flagship hospital for Vidant Health and serves as the teaching hospital for the Brody School of Medicine at East Carolina University.

Minimum Education/Experience:

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Preferred Experience, Skills, Training/Education:

Type 40 words per minute min
- Working with multiple line phone system in front reception setting
-Experience working in a medical setting with PHI
- Experience with EPIC EHR
- Computer skills and experience using Microsoft Programs including Outlook, Excel, and Word
-Experience providing customer service
- Knowledge of ECU Online Travel System
- Preffered NC Notary Public Commission to assist families seeking/filing NC Victims Compensation.

License or Certification Required by the Department:
