JOB SUMMARY This position is responsible for advising students and the public regarding financial aid and managing and maintaining the records pertaining to financial aid. This position reports to the Assistant Director of Financial Aid relevant to the following specific job responsibilities.


  • Advises students and parents regarding availability of financial aid, the eligibility requirements and the application process via phone and or e-mail correspondence.
  • Responsible for coordinating timely responses for all student correspondence/messages received via phone and e-mail as needed.
  • Determines student eligibility for certain types of financial aid.
  • Assists students in the application process for financial aid by helping them to complete appropriate and required forms.
  • Awards federal, state, institutional and private sources of financial aid to students within appropriate guidelines and regulations.
  • Review and process financial aid files and/or related processes as assigned.
  • Manages student financial aid records.
  • Updates information in the financial aid computer system.
  • Determines accuracy of certain documents and interpretations of these documents primarily via CampusLogic software portal.
  • Reports to work as scheduled by immediate supervisor.
  • Coordinates and participates in financial aid workshops, orientations or other events on campus, external sites (high schools, career centers, (etc.) and virtually as needed or requested.
  • Performs other related duties specific to financial aid regulatory requirements and day-to day operations as assigned by supervisor and/or to provide maximum office efficiency.


  • Experience in administering student financial aid programs at a comparable college or university preferred.
  • Knowledge of modern office methods, procedures and equipment.
  • Some knowledge of current institution, Regents, state and federal regulations pertaining to the collection, maintenance, and release of information.
  • Prior financial aid work experience.
  • Ability to successfully establish and maintain effective working relations with other employees.
  • Knowledge of federal, state and institutional financial aid programs, policies and procedures.
  • Knowledge of the Banner financial aid module.
  • Knowledge of federal and state student aid online reporting systems.
  • Knowledge of need analysis principles.
  • Skill in the operation of computers and job related software programs.
  • Skill in decision making and problem solving.
  • Skill in interpersonal relations and in dealing with the public.
  • Skill in oral and written communication.

SUPERVISORY CONTROLS The Assistant Director of Financial Aid assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES Guidelines include federal and state rules and regulations that pertain to the awarding and disbursing of federal and state aid. These guidelines require judgment, selection and interpretation in application.


  • The work consists of varied financial aid advising duties. Strict regulations contribute to the complexity of the position.
  • The purpose of this position is to provide assistance to students in matters pertaining to financial aid policies, procedures and processes. Success in this position contributes to the efficiency and effectiveness of the college’s financial aid processes.


  • Contacts are typically with co-workers, other college employees, students, parents, representative of student loan companies, representatives of federal agents, and members of the general public.
  • Contacts are typically to provide services; to give or exchange information; to resolve problems; or to justify, defend or negotiate matters.


  • The work is typically performed while sitting at a desk or table.
  • The work is typically performed in an office.



  • Knowledge and level of competency commonly associated with the completion of a baccalaureate degree in a course of study related to the occupational field.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for two or more years.


  • This position is non-exempt (bi-weekly paid).
  • Pay grade 16.
