The Office of the Associate Vice Provost for Enrollment Management & Executive Director of Undergraduate Admissions at the University of Tennessee, Knoxville, invites applications and nominations for an Administrative Specialist Assistant.

The Enrollment Management (EM) division comprises more than 150 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, Transfer Center, One Stop Student Services, Financial Aid and Scholarships, University Registrar, EM Communications, and Research & Analytics.

Duties/Responsibilities:   This position will support the Knoxville Office, Director International Recruitment, Transfer Center, and Director of Freshman Recruitment. This position will support the administrative and recruitment efforts of the Directors and Admissions Counselors in Knoxville through coordinating appointments and handling phone messages, scheduling meetings, maintaining office records, and supervising inventory of office and recruiting supplies for the Knoxville Office. This position will send communications on behalf of Undergraduate Admissions, Director of Freshman Recruitment, Director of International Recruitment, Director of Transfer Center and Admissions Counselors in the Knoxville Office as needed.  They will also assist Directors with meeting preparation (agendas, room scheduling, room preparation, and breakdown), and greeting guests. They will need to provide the highest level of quality service to all people who contact the Office of Undergraduate Admissions, International Recruitment, Transfer Center, Freshman Recruitment and Pre-College Programs and serve as an information resource to faculty, staff, students, and families via telephone, email, and in person.

Required Qualifications: High school diploma or GED required. Minimum one year of experience in an office setting. Superior customer service and time management skills, and the ability to handle multiple tasks; organizational skills; computer skills including but not limited to Microsoft Word, Excel, Power Point, and Outlook. Strong communication skills including listening, speaking, and writing. Problem solving skills. Organizational skills and ability to pay attention to detail. Ability to be dependable, punctual, and a team player. Ability to learn new software and processes. A suitable combination of education and experience may be substituted for minimum qualifications. Valid driver’s license is required.

Preferred Qualifications: Bachelor’s degree preferred. Working knowledge of SAP (IRIS). Knowledge of UT fiscal and travel policies. Ability to improve processes through critical thinking.
