Provide administrative support to the Vice Provost, Global Initiatives and coordinate the day-to-day operation functions of the International Center.Duties and Responsibilities:
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Manage frontline client service area for the International Center. Provide customer service to students, visiting scholars, faculty, and staff for general study abroad inquiries and International Center support services. Answer general inquiries, refer visitors and students to appropriate departments, offices, and personnel. Maintain scheduling calendar for the International Center meeting area. Exhibit a high degree of tact and sensitivity in all client interactions. Order and maintain supply inventories. Maintain International Center email accounts.
Perform administrative support duties for the Vice Provost, Global Initiatives. Research and troubleshoot issues needing resolution at the unit level. Provide confidential administrative services including arranging and scheduling meetings, preparing reports, correspondence, and speeches, making travel arrangements, reconciling expenses, and compiling information and data for the Vice Provost. Maintain databases. Arrange, schedule, and conduct special events such as meetings, conferences, and social events. Prioritize responses to correspondence, phone calls and various issues, thereby minimizing demands on the Vice Provost’s time, allowing the Vice Provost to focus on broader and more critical issues.
Serve as primary contact for Gilman Scholarship; assist with Distinguished International Visitor Program; assist with Faculty Global Mobility Grant program.
Organize, coordinate, and provide logistic support for special programs and campus visits. Support outreach and marketing efforts as necessary.
Recruit, hire and supervise student employees for the Center.
OTHER DUTIES AND RESPONSIBILITIES:
Perform all other related duties as assigned.
LICENSES, TOOLS AND EQUIPMENT:
Personal computers, printers; word processing, database management and spreadsheet software; WordPress, PeopleSoft, Terra Dotta or other systems.Required Qualifications:
1. Bachelor’s degree.
2. Minimum two years of experience working in Higher Education involving student services and/or academic affairs.
3. Demonstrated experience using WordPress and PeopleSoft (or similar systems).
4. Demonstrated strong verbal and interpersonal communication skills.
5. Demonstrated proficiency in written communication skills.
6. Demonstrated supervisory experience.
7. Demonstrated ability to work with diverse groups/populations.Preferred Qualifications:
1. Demonstrated experience in international student affairs work in Higher Education.
2. Demonstrated familiarity with Terra Dotta Software for Study Abroad (or similar system).
3. Demonstrated experience as an Office Manager.
