Position Highlights:

The Neuroscience and Cognitive Science Undergraduate Program (NSCS) seeks highly qualified candidates for the position of Academic Administrative Professional II. The NSCS program is a vibrant undergraduate degree program with over 500 students.

This position will be part of the NSCS academic team, reporting directly to the faculty Director. The Academic Administrative Professional II performs day-to-day operational and administrative functions in support of the NSCS program. Coordinates activities and operations of the NSCS program to ensure that goals and objectives are met considering established priorities, time limitations, funding limitations or other specifications. Maintains course catalog, schedule of classes and course enrollment. Manages communications, marketing and events. Supports NSCS program committees and may represent the program on College committees. The Academic Administrative Professional II works closely with the Director, the NSCS Steering Committee and the NSCS advisors.

Duties & Responsibilities:

Administration

  • Coordinates day-to-day operational activities of the Program, including calendaring and other administrative functions. Supports the Faculty Director and the Program Steering Committee.
  • Coordinates reports and maintains records on programmatic information. This includes but is not limited to enrollment, course activities, course viability, course progress, student credit hour (SCH) accumulations, number of majors, or other special reports as needed, works with the NSCS faculty to provide logistical support for the program.
  • Coordinates the implementation of student assessment evaluation tools as required by the Office of Institutional Assessment.
  • Provides faculty support services including reserving rooms for course-related events, arranging proctored exams for online courses, ordering supplies, and copying exams.
  • Orders student course surveys (SCS) for NSCS and NROS courses.
  • Submits textbook adoptions for NSCS and NROS courses.
  • Assists with TA hiring and TA compliance with training requirements for NSCS and NROS courses.
  • Coordinates orders and invoices for supplies, reimbursements, etc.
  • Coordinates work of a student office assistant.

Curriculum

  • Maintains the course catalog and schedule of classes for NSCS and NROS courses.
  • Responsible for, in conjunction with the Faculty Director and other appropriate parties, setting enrollment capacity, maintaining permissions lists and waiting lists for NSCS and NROS courses.
  • Coordinates section creation and manual enrollment of students in research, preceptorship, internship, thesis, and capstone credit.
  • Creates and maintains electronic records of enrollment forms
  • Under the supervision of the Faculty Director, submits forms for new course approvals and course updates, tracks submissions.

Events

  • Coordinates program events including NSCS Commencement, Student Retreat, and Alumni Homecoming Reception. Reserves event space, arranges catering services, and develops event marketing.

Communications

  • Coordinates the development and (electronic) storage of program materials including recruiting materials, program records, research enrollment forms, student handbooks, brochures, etc.
  • Maintains and updates content for the NSCS website.
  • Coordinates alumni relations including maintaining the alumni listserv and developing a robust network of alumni donations.

Student Services

  • Facilitates student management of bank accounts for Nu Rho Psi Honorary and NSCS Ambassadors.
  • Coordinates communications to NSCS students
  • Communicates with prospective students, assists with student recruitment.

Other

  • Participates in regular NSCS team meetings as well as Neuroscience department staff meetings.
  • Represents the Neuroscience and Cognitive Science Program on University and College committees as appropriate.
  • Maintains knowledge of regulations and University policies that impact curriculum and program operations.
  • Other duties as assigned (typically, less than 5% of time).

Minimum Qualifications:

  • Bachelor’s degree or equivalent advanced learning attained through professional level experience required.
  • Minimum 3 years of relevant work experience required.

  • Experience with UA curriculum & course scheduling processes
