Job Description

The College of Arts & Sciences at the University of Missouri-Kansas City (UMKC) announces an opening for a Senior Executive Assistant position in the Dean’s Office. The College of Arts & Sciences consists of 17 academic departments, interdisciplinary academic and student service programs. It is the largest academic unit in the University of Missouri-Kansas City.

The individual selected for this position will join a highly effective team of administrative staff which support the Dean, three Associate Deans, and other members of the Arts & Sciences Dean’s office.

Duties include but are not limited to:

  • Provide administrative support to the Dean, Associate Deans, and overall operations of the Dean’s Office with confidentiality
  • Draft and coordinate written, verbal, and electronic communications between the Dean’s Office, the UMKC Administrators and the College departments and offices, as well as other units on campus, affiliated institutions, as well as the community
  • Maintain accurate and confidential records of all important documents pertaining to the office, including but not limited to annual evaluations, academic program review, credentialing, faculty & staff awards, and meeting minutes
  • Provide daily assistance to the Dean and Associate Deans on short-term and long-term projects and routine procedures
  • Schedule meetings for the Dean, Associate Deans, and maintain shared Dean’s office calendars
  • Provide support to the CAS Council of Chairs
  • Provide staff support to Arts & Sciences Faculty Chair and Co-Chair
  • Working with the Associate Dean for Faculty Affairs, facilitate the Promotion and Tenure Process for the academic unit
  • Support full- and part-time hiring processes and work with the Dean and search committees for full-time academic hires of the College of Arts & Sciences
  • Collaborate with Arts & Sciences Deans, Human Resources Facilitator and Fiscal Officer on processes and provide recommendations on policies and procedures
  • Hire, evaluate, and supervise an Office Support staff and work-study students in the Dean’s Office
  • Plan, coordinate and oversee Dean’s office events
  • Provide exceptional customer service to students, faculty and staff to promote undergraduate and graduate processes, problem solve, and seek options for resolution of issues, to effectively support the Vision and Mission Statements of the College of Arts & Sciences
  • Other duties as assigned
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications
  • Five years of progressively responsible office experience, with at least three years of related experience in higher education administration, business administration, human resources administration, or public relations
  • Demonstrated ability to work through complex personnel problems
  • Knowledge of a PeopleSoft system that relates to higher education
  • An earned master’s degree

  • Excellent organizational skills and the ability to maintain a computer-based filing system
  • Demonstrated ability to initiate, plan, prioritize, and organize multiple projects
  • Demonstrated ability to lead and collaborate effectively with others as a team to achieve objectives
  • Ability to work independently, access and set own priorities in accordance with duties of the position
  • Ability to supervise others and assign tasks
  • A desire to further develop skill set and take advantage of training opportunities as needed or requested by supervisor[s]
  • Basic knowledge of human resources and employment practice to draft offer letters and support the Dean in those functions

Monday through Friday with occasional evening and weekend required.
