Position Summary:

This position provides primary marketing and logistical design support for conferences, educational projects and other events sponsored by the departmental organization. Scheduling events and coordinating support of their key delivery components is central to this work. First-line collegial collaboration is required, including coordination with a variety of external constituencies, program leaders, as well as with internal colleagues. It also provides specialized service in maintaining a specific information technology capability, and generally aids business administration for the organization, including preparation of periodic routine reports as well as complying with written policies and procedures associated with parent organizations.

Knowledge, Skills, Abilities and/or Competencies:

Creating and maintaining database software information; ability to read and interpret rules and regulations; capable of effective time-management while engaged in multi-tasking; professionally adept at collaborating easily with others and promoting a positive demeanor; capable of functioning independently in a self-starting primary administrative and clerical support role.

Need to lift and move up to 50 pounds of office equipment or office supplies.

Duties/Responsibilities:

Lead staffer to coordinate logistical support for designated array of continuing ed functions
Assists more senior staff and course leaders in assessing and preparing logistical support
Monitors venue contracts to assure that outside support corresponds to projected needs
Monitors participant registration to assure event venue capable of meeting attendance needs

Duties/Responsibilities:

Lead staffer to prepare instructional aids for course leaders of selected continuing ed products
Responds to more senior staff and course leaders about preparing instructional aids
Maintains ongoing communication with product leaders to advance project preparations
Maintains communication with potential participants to advance project preparations
Effectively manages e-file transactions for reference materials that facilitate programs

Duties/Responsibilities:

Furnishes clerical support to more senior staff on particular continuing ed products
Maintains records of preparation for all events, including participant as well as other records
Assists in preparation of educational planning committee agendas and minutes
Conducts email, telephone and messaging, and standard correspondence as directed
Prepares on-line forms for ICJE website to promote and facilitate product participation
Prepares feedback forms used on-site by attendees, i.e., evaluations, credit submission, etc.
Submits MCLE and MCJE accreditation requests as directed, pre- and post-program
Initiates and directs authorized project purchases against respective product accounts

Compiles post-project reports for Program Coordinator, Executive Director and policy-makers
Product evaluation reports as well as statistics on ICJE projects
Monitors accuracy of invoices and charges authorized against respective expenditure accounts
Contributes ideas to deliberations and reports on future product development

Duties/Responsibilities:

Collaborates with the work of one other employee, who performs registration data entry
Monitors to assure that registration data entry is correctly completed
Maintains awareness of IT developments for improving employed registration software systems
Contributes data to system of correctly and timely denoting tracking of financial transactions

Supports routine meetings and educational sessions
Conducts on-site distribution of program resources as needed
Provides on-site IT trouble-shooting during delivery of educational sessions
Serves as moderator periodically for various formal educational program activities
