University Housing’s mission is to provide comfortable, affordable and secure on-campus housing options in residential communities where the academic success and personal growth of residents are encouraged and supported. University Housing operates as a self-supporting auxiliary unit within the Division of Student Affairs. More than 8,000 students live on campus, where University Housing manages more than 2.8 million square feet of space in 22 residence halls, 20 apartment buildings, four Greek Park houses and 18 buildings on UGA’s nearby Health Sciences Campus. The department employs more than 700 staff members to conduct the operations of a comprehensive and integrated student housing organization.

Position Summary:

This position is critical to the operations of the Housing Business and Human Resources Office. The incumbent is responsible for rate proposal preparation, budget preparation, monthly and annual financial analysis and reporting, financial projections, year-end closing activities, and various other financial/accounting duties and reporting. This position is also responsible for the supervision of three accountants.

Function independently and solve both routine and complex accounting problems.
Make decisions regarding business activities based on prescribed UGA policies and procedures.
Strong communication skills and computer skills are needed.
Proven supervisory and coaching skills.

Duties/Responsibilities:

Reporting and fiscal analysis
•Prepare and administer monthly financial reporting. Including but not limited to: overseeing all departmental funds, reviewing and analyzing monthly account information and reports for accuracy, investigating inconsistencies and reporting details to management, maintaining/reconciling all financial information to official UGA records.
•Prepare and administer year-end and annual reporting. Including but not limited to: year-end accounts receivable reporting, year-end operational reporting and other financial reporting as assigned.
•Serve as a resource to management by completing special financial analyses and budget assignments.

•Supervise, recruit, and train three accountants whose work entails financial reporting, travel, purchasing, foundation funds, hall council funds, accounts receivable, student billing and other special billing activities.

•Coordinate and communicate with management to develop and compile the basis for the operating budget and the rental rate proposal and prepare related annual budget and rate proposal documents.

Business processes
•Review and provide backup for UGA Mart purchases; process and oversee the processing of journals, travel reimbursements, budget amendments/transfers. Serve as a compliance approver for all payment requests and employee travel estimates. Prepare deposit transmittals.
•Serve as the HBHR contact for departmental account status reports reconciliations. Review and submit and/or oversee all billing activities (i.e. medical student, visiting scholar, student, athletic, conference). Prepare monthly journals to make accounting adjustments and distributions.
•Serve as the departmental contact for PCI compliance and UGA Marketplace sales and training.
•Manage the travel training module on e-Learning Commons and enroll new staff in training. Maintain comprehensive purchasing handbook to be used by all Housing staff with purchasing responsibilities.
•Maintain billing for TA’s living in Mary Lyndon.
•Facilitate organizational review of annual insurance/risk management for departmental real estate and equipment. Serve as the primary contact and coordinator for annual inventory reporting. Assist with annual state audit requests. Oversee monthly sales tax reporting.

•Remain current on all UGA and BOR policy and procedure changes. Draft correspondence to communicate or train housing management and staff of changes. Seek policy interpretation guidance and establishment of sound business practices by interacting with the professional staff in other campus units including but not limited to: UGA Accounting, Budgets, Facilities Management, Bursar, Accounts Receivable and Procurement. Update relevant policies and procedures in the housing staff manual and purchasing handbook.
Special duties
•Assist associate director as needed and may serve as backup in their absence.
