Job Description:

Transcription and Editing: 5%

The incumbent is responsible for the accurate and timely transcription of gross and microscopic surgical reports, non-gyn cytology, cytogenetics, autopsy, and nuclear medicine scan reports; in addition, will compose routine correspondence; interpret, translate, and edit medical dictations according to established departmental procedures. Editing, determining assigned pathologist, typing in gross descriptions from dictation, producing preliminary medical reports, checking reports for accuracy, putting preliminary medical reports with corresponding slides from histology and sending to assigned pathologist, maintaining files, mailing out reports, separating reports for billing, and filing slides. Type results and/or interpretations for Preliminary Medical Report previously created from rough drafts, transcribing machines, notes and/or oral instructions as provided by attending physician.

AP Accessions: 10%

Prepare Anatomic Pathology laboratory specimens for designated departments/locations prior to laboratory analysis and testing. Unpacks specimens and routes specimens by type to various staging areas. Prepares all specimens received for testing in designated laboratory departments or locations such as staging of slides, blocks, and other specimens. Prepares excess specimen samples for storage and resolves and document problem specimens.

Triage: 15%

Receive and record all specimens/slides/blocks into daily receipt log, this includes checking bins in Shands Clinical Lab periodically throughout the day for additional samples.

Pre-accession specimens, orders tests, print out labels and attaches to paperwork and specimen container, print Test Order form – then deliver to appropriate lab and specimen to designated location.

Forwards copy of report to appropriate in-house physician/lab.

CP Accessions/ Processing: 20%

Prepare Clinical Pathology laboratory specimens for designated departments/locations prior to laboratory analysis and testing. Unpacks specimens from branches or ports and routes specimens by type to various staging areas. Prepares all specimens received for testing in designated laboratory departments or locations such as staging of specimens, centrifuge, separate serum, and blood smears. Aliquots sample for departments. Prepares excess specimen samples for storage and resolves and document problem specimens.

Registration 10%

Collects patient and insurance information and ensure required details are included on the forms. This position also verifies confirms insurance information.

Intake/Slide control: 10%

Receive and track slides/cases from UF Health Pathology satellite laboratory. Distribute slides to the appropriate Pathologist. Maintain records of slides received and their distribution points. Assist UF Health Pathology Laboratories intake personnel in locating slides that have been distributed to Pathologists. Return and track slides to UF Health Pathology satellite laboratory. Maintain records of slides returned.

Lead 15%

Creates staff schedules and orders supplies. Coordinates day to day operation of the department. Provides feedback regarding employee hiring, evaluations, hiring, counseling and corrective action. Complete quality reports. Prepares department for inspections and ensure the department meets regulatory and safety requirements.

Any such duties needed to keep the triage area running smoothly and performing the work in an accurate, organized and timely manner. Administrative management functions of this position under the direction of the Director of Operations and Administrative Laboratory Director include assisting with oversight and daily processes for the Triage and Accessioning section. This position is responsible for training new staff members on the day/evening shift and providing the proper instruction they need to complete their training list.

This position will be responsible for troubleshooting and documenting any issues that come up in the day/evening shift and report directly to their supervisor any and all issues that arise. This position is responsible for coordinating lunches and breaks to ensure the area has coverage at all times when the supervisor is not present in the area and report any conflicts or issues directly to their supervisor.

MISCELLANEOUS-OTHER OFFICE DUTIES: 10%

Maintains supply of all forms used for triage.

Helps with miscellaneous duties which includes but not limited to bagging up Biohazard trash and transporting it to appropriate location, moving emptied Fed Ex packages each week, etc.

OTHER DUTIES AS REQUIRED 5%

Expected Salary:

$21.91 - $24.90 per hour

Minimum Requirements:

High school diploma or equivalent and four years of medical office experience, that includes the knowledge of CPT and ICD-9 coding guidelines as well as basic medical terminology. Appropriate college coursework or vocational/technical training may substitute an equivalent rate for the required experience.

Preferred Qualifications:

Previous supervisor experience. 2 years or more college. Communication skills which will allow the prospective employee to interact with UF physicians, client physicians, and other health professionals in a professional manner. Ability to work in a potentially stressful environment. Ability to quickly learn various aspects of Lab Operations. Knowledge of Medical terminology.
