ADMINISTRATIVE ASSOCIATE 3 – DEPARTMENT OF MARKETING
 
Regular Full-Time, Market Range 06

The Haslam College of Business (HCB) at the University of Tennessee, Knoxville, invites applications for a full-time, non-exempt Administrative Associate in the Department of Marketing.  Reporting directly to the Department Head, the position functions as the office manager, manager of the administrative support team, supervisor of student employees, and personal assistant to the department head. 

Responsibilities:

    •    Provide a broad range of administrative functions to support department and faculty activities
    •    Coordinate and track student enrollment numbers
    •    Organize and compile date for annual reports
    •    Coordinate, schedule, assemble and distribute agenda, provide requested materials, and reserve space for faculty meetings
    •    Process hire, transfer, and termination paperwork for faculty, lecturers, staff, students, and visitors
    •    Coordinate and process all paperwork, organize campus visits for candidates, and manage onboarding process for faculty searches
    •    Maintain faculty committee assignments
    •    Assist with organizing tenure and annual review process for faculty
    •    Provide guidance and work direction to student assistants
    •    Research and coordinate with responsible campus units to ensure facility maintenance, department office space updates, and hardware/software orders as needed, including purchasing
    •    Organize, maintain, and ensure security of departmental records in compliance with records retention policies
    •    Review and edit documents for publication
    •    Schedule meetings and make room reservations
    •    Assist Financial Associate with budget processes as needed
    •    Other duties as assigned
 



Qualifications
Qualifications:
 
Required Qualifications and Experience: 

    •    High School diploma or GED
    •    Minimum 5 years of professional experience in a position requiring similar administrative and supervisory skills


Desired Qualifications and Experience: 
    •    Associate’s degree or some college coursework preferred or Bachelor’s degree in a related field

Knowledge, Skills and Abilities:

    •    Strong interpersonal skills
    •    Ability to easily learn and apply software
