Educational and Experience Requirement:

Associates Degree in related field. Four years relevant administrative assistant experienced or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position:

Performs complex administrative assistant duties for the Registrar.

Primary Responsibilities:

Performs complex administrative functions for the Registrar’s Office to include records, reports, and policy interpretation. Provides departmental or University information to students, departments, and staff. Reviews, revises, and interprets policies and procedures. Compiles, tracks, and reviews data and reports. Attends meetings and takes notes. Prepares, reviews, revises and distributes documents and correspondence. Creates and maintains appropriate manuals for the Office of the Registrar that ensures accuracy of registration processes. Implements best practices to improve efficiency of processes. Oversees front counter operations and processes, including course adds , drops, resignations, change of major requests, and other projects and tasks assigned to front counter staff and student workers. Assists in monitoring the office phone system. Maintains well-rounded knowledge of Registrar processes, procedures, and timelines. Collaborates closely with the academic departments, SAM Center, and other office in the interest of students, faculty, and alumni. Performs Registrar-related tasks to include report processing and assisting with procedures related to registration. Assist with registration trouble-shooting to include prerequisites, restrictions, holds, and errors. Oversees processing of transcripts and enrollment verifications requests. Provides general Texas Success Initiative (TSI) evaluation support to students, parents, and advisors. Maintains working knowledge of Degree Works. Provides general graduation and commencement information. Monitors the main registrar shared inbox and assists with registration-related responses. Corrects academic records, processes resignations, and scans reports and pertinent student documents including email communications. Assists students, former students, faculty, and staff with records requests or other general information. Communicates effectively with the campus staff and student population the policies and procedures of the University. Attends and participates in other University events outside of the normal work week as needed. Performs other related duties as assigned.

Judgement is important in the performance of duties. Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature. Decisions are made within limits, established policies, and procedures. Excellent written and oral communication and interpersonal skills. Strong organizational skills. Able to handle multiple tasks prioritize, and meet deadlines. Must be supportive of institutional compliance and academic programs. Must strive to be a leader amongst peers and on campus. Strong and tactful verbal communication skills required. Seeks to improve processes for the betterment of the student experience. Attentive to accuracy in details in order to comply with SHSU policy and state rules. Occasional travel may be required.
