Job Description POSITION OBJECTIVE

Manage the investments, annuities, funds held by others, gifts, pledges, and Health Education Campus (HEC) functions for Case Western Reserve University. This includes financial reporting responsibility, both internal and external, as well as, monitoring internal control procedures in order to prevent errors, omissions, and misappropriation of university assets. This position is also responsible for the oversight and effective utilization of the staff in this area. Work in collaboration with others and/or lead in the development and implementation of operational and/or university-wide policies and procedures to meet the goals of the Controller’s Office and the Division of Finance.

ESSENTIAL FUNCTIONS

    Utilize Generally Accepted Accounting Principles (GAAP) and understanding of University policy and procedures to effectively review assigned journal entries prepared by department users and appropriately resolve issues as necessary. Must not only have knowledge of GAAP but must be able to apply it correctly. (20%)Manage the monthly, quarterly and year-end closing process for PeopleSoft. Oversee the accurate and timely recording of the investment activity, which requires direct interaction with the Investment Office and the university’s investment custodian. Manage the accurate and timely recording of funds held by others and split-interest agreements, which requires direct interaction with Endowment Management and Planned Giving. Review and determine the appropriate gift/pledge accounting based on information received from Development and use of the Development system. Ensure all gift and pledge activity is accurately recorded under GAAP and on a timely basis. Managing policies and procedures of the pledge discount rate on an annual basis and allowance for uncollectible pledges on a quarterly basis. Ensure that all investment, annuity, funds held by others, gift and pledge analyses prepared for the quarterly financial briefing book, the annual audit and the annual financial statement footnotes are appropriate, accurate and completed in a timely manner. (50%)Manage the monthly HEC internal bill back process with the HEC outside Management Company and in concert with the various University departments incurring expenses. Ensure all HEC related assets and depreciation are recorded in accordance with GAAP and on a timely basis. (15%) Act as a liaison between Specialized Accounting and Development and other departments. Exercise independent review and judgment about issues encountered and determine options for issue resolution to be reviewed and agreed upon by Assistant Controller for Specialized Accounting. (10%)

CONTACTS

Department: Continuous contact with professional and management staff of all levels within the Controller’s Office.

University: Frequent contact with the Investment Office, Treasurer’s Office, Endowment Management, Budget Office, Office of General Counsel, Planned Giving, Development, Development and School-level Finance Offices, and Department Administrators.

External: Regular contact with personnel from the University's banks and custodians as well as the University’s external auditors. Regular contact with both the Cleveland Clinic Foundation and the external facilities management company for HEC.

Students: Infrequent contact with students.

SUPERVISORY RESPONSIBILITIES

Direct supervision of the Investment Accountant II and the Gift and Annuities Accountant II.

QUALIFICATIONS

Experience: 5 years of demonstrated experience in the financial/accounting field required, preferably in a non-profit environment. Experience should include 1 to 2 years of supervisory or project management experience.

Education/Licensing: BS/BA in Accounting or Finance is required; prefer MAcc, MBA or CPA.

REQUIRED SKILLS

    Thorough knowledge of accounting practices within a business office and GAAP accounting.Must be self-motivated and have the ability to lead; as well as the ability to work independently and make sound decisions. Strong analytical, organizational, and proven problem solving skills. Must have the ability to analyze and interpret financial data/reports in order to make recommendations regarding strategic planning. Must be able to multi-task effectively, and to work under pressure to meet deadlines. Demonstrated high level of integrity and professionalism. Must be able to communicate effectively with a wide constituency. Ability to interact with colleagues, supervisors, and customers face to face. Working knowledge of Microsoft computer applications—must be proficient in Microsoft Excel. Familiarity with an enterprise resource system—PeopleSoft a plus.Ability to navigate the Internet and utilize e-mail systems effectively. Ability to meet consistent attendance.
