The University of North Texas System Office of Facilities Planning & Construction delivers outstanding sustainable and enduring construction projects that maximize value, while supporting the mission of each campus.

Position Overview:

This position is responsible for providing comprehensive administrative and analytical support to the UNT System Office of Facilities Planning & Construction. The Senior Administrative Coordinator ensures the completion of required reports; resolves most questions, including some when only limited standardization exists; and refers only the most complex issues to higher levels. As the asset manager and records management representative, this position handles secure, sensitive information that is subject to privacy and confidentiality restrictions and requires a high level of initiative and independent judgment.

Minimum Qualifications:

Bachelor’s Degree and two years of office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities:

• Extensive knowledge of (or ability to rapidly assimilate and retain) fiscal and academic policy, procedure and practices.
• Extensive knowledge of sound business management principles, policies, and techniques.
• Thorough knowledge of electronic information systems and accounting systems.
• Ability to work under considerable pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Marked ability to establish and maintain effective working relationships.
• Ability to work independently and make decisions within the framework of broad goals and objectives.
• Ability to conceptualize, plan and organize multiple programs and assignments effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• Exceptional written and oral communication skills.
• Knowledge of safe working procedures and security measures related to work performed and work supervised.

Preferred Qualifications:

Bachelor’s in Statistics, Information Management, Economics, Finance, Accounting, or Business Administration

Training in other areas related to business or public institutions

Work Schedule:

M-F 8 am-5 pm flexible

Physical Requirements:

Ability to communicate


Manage work order system for downtown Dallas facilities, including work order entry and dispatch


Serve as initial point of contact for short-term leases of UNT System space in downtown Dallas and assist with creation and maintenance central repository for all lease documentation


Coordinate all UCD activities and maintain a schedule of all space use


Coordinate any special needs associated with class/space usage


Ensure all invoices are paid in a timely manner


Coordinate with Marketing & Communications on all building communications


Serve as primary administrative support for Assistant Director, Facilities and other staff at 1901 Main Street


Schedule appointments/meetings and maintain calendar for Assistant Director, Facilities


Responsible for evaluation and purchasing of office equipment and supplies for department, utilizing electronic procurement system or purchasing card as appropriate


Makes other departmental purchases (registrations, memberships, etc.) as needed


Serves as records management representative for department


Serves as departmental asset manager


Completes required reports in a timely manner


Interprets policies and procedures to staff


Conducts and reviews feasibility studies for proposed programs and operational changes


Prepare sensitive and multi-faceted reports and correspondence under tight time constraints


Perform and oversee special projects that are highly sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation


Draft, proof, format, and disseminate reports, internal and external correspondence, and memoranda


Participate in department meetings and communicate pertinent information to staff


Manage other duties and projects as requested


Follows appropriate safety procedures and security measures related to work performed
