Looking for someone to join a fast-paced office environment to provide coordination and administrative support for all human resources administrative functions, office management, and provide high level admin support for the Director for Human Resources.


Responsibilities:

  • Serves as first point of departmental contact and office management.
  • Assists Director in tracking departmental expenditures.
  • Prepares and processes departmental invoices for payment and pre-expense and expense reimbursements as assigned.
  • Processes Director’s monthly credit card statement.
  • Manages the planning and preparation of the employee newsletter.
  • Serves on the Stetson Moment’s Committee and assist with employee events and functions (including Health Fair, Employee Appreciation, Thanksgiving, Holiday Luncheon, Wellness efforts, etc.).
  • Responsible for updates to HR website.
  • Assists Director with coordination of schedule and calendar and ensures walk-ins are handled accordingly.
  • Coordination with COVID-related HR responsibilities, such as assisting with the coordination of testing, developing the sign-ups, serving at the registration table at each event, collecting the necessary releases and tracking statistical data.
  • Set-up conference calls and organizing departmental and non-department meetings as well as making department arrangements and coordinating calendars.
  • Assists with updating departmental procedures.
  • Responsible for maintaining the HR department email box.
  • Assists the Director for Events and Tampa Law Center with various events and commencement, as needed.
  • Coordination between HR & Dean’s Office to order flowers and/or send appropriate cards to employees, per our Condolences & Congrats policy.
  • Responsible for document imaging (scanning), filing.
  • Orders departmental supplies and maintains department inventory.
  • Coordinate’s business card orders and faxes orders to vendor.
  • Mail drop-off, pick-up, and distribution.
  • Updates HR bulletin boards;
  • Coordinates the servicing of office equipment.
  • Assists in annual preparations and updating of Hurricane Preparedness materials (in conjunction with Dean’s Office).
  • Assists with Stetson's walking group; responsible for coordination and leading the group.
  • Assists in wellness efforts.
  • Back-up to HR Services Administrator and cross-training, as necessary.
  • HR project work, as assigned.
  • Ensures integrity of all files and secures confidential files.
  • Maintains high level of confidentiality.
  • Maintains a collaborative work environment and works well with others.
  • Other assignments assigned by Director.
Required Skills

AA/AS degree required. 3 to 5 years administrative support experience. Must be a self-starter, who works well in a fast-paced environment. Has the ability to maintain a consistent, dependable, and regular work schedule. Excellent interpersonal skills and commitment to HR services are necessary and strong written and oral communication skills are required. With a positive demeanor, works as a HR team member, functioning under timelines and being responsive. Flexibility, multi-tasking, excellent judgment, attention to detail and follow-through are required. Maintains confidentiality. Great people skills and professionalism are necessary. Establish and maintain positive and collaborative working relationships, both internally and externally. Works to build an environment that promotes and facilitates the success of Diversity and Inclusive Excellence. Occasional night and weekend work may be required.

Preferred:

Experience in Human Resources preferred. Ability to mail merge documents strongly preferred. In lieu of degree, consideration for years of experience in an education environment, or satisfactory combination of education and/or experience.
