The Administrative Coordinator for Finance & Human Resources in the Division of Student Affairs & Academic Support is responsible for assisting with the monitoring of financial transactions, purchasing activities and human resource (HR) actions for compliance with policies and procedures, and serving as an overall resource for special projects and general office support in the Office of the Vice President for Student Affairs and Vice Provost.
*Reviews human resource (HR) actions for compliance with University policies and procedures and Division of Student Affairs & Academic Support processes, forwarding any potential concerns to the Director of Human Resources. Prepares all HR paperwork and enters all online transactions (position descriptions, requisitions) for the Office of the Vice President for Student Affairs and Vice Provost. Gathers and organizes data for various reports, including the annual pay for performance and bonus reports and the turnover report.
*Reviews financial paperwork received from the departments within the Division of Student Affairs & Academic Support, prior to submitting for vice president (VP) approval, to verify compliance with University policies and procedures and Student Affairs & Academic Support processes and standards.
Processes finance and purchasing transactions for the Office of the Vice President for Student Affairs via PeopleSoft, Visa purchasing card, or other electronic systems, as required.
Performs Visa purchasing card liaison duties for accountholders within the Office of the Vice President for Student Affairs.
Assists with the reconciliation of accounts for the Office of the Vice President for Student Affairs on a monthly, quarterly or periodic basis, as assigned, and prepares corresponding reports.
*Serves as an overall resource for administrative support, training, and special projects within the Office of the Vice President for Student Affairs including, but not limited to, answering phones, correspondence, report distribution, filing, copying, coordinating quarterly business manager meetings, tracking and recording all finance, purchasing, HR activity electronically, coordinating GEMS, and acting as an United Way Ambassador, etc.
*Performs periodic reviews of authorized user activity for various systems (eVerify, payroll, purchasing card, etc.) to ensure procedural integrity and compliance.
Bachelor’s degree and 3 years related experience in business management, public administration, or administrative services; or equivalency.Preferred Qualifications:
Knowledge of USC policies, procedures, financial systems, and human resource systems preferred. Understanding of PeopleSoft and PeopleAdminKnowledge/Skills/Abilities:
A bachelor’s degree and at least three years of related experience required. Must have strong knowledge of Microsoft Excel, familiarity with database programs, and the capacity to learn web-based financial systems. Strong analytical skills and the ability to interpret policies and procedures accurately are critical.
