General Description:

The Recruiting and Onboarding Coordinator engages faculty, administration, and staff to establish trusting, collaborative relationships directed toward the goal of attracting and retaining a competitive workforce; provides consultation to departments regarding employment practices and procedures. Assists HR in ensuring a meaningful and effective new employee orientation process.
This role will partner with the HR and all internal partners to maximize the effectiveness of the hiring process, develop and execute comprehensive and effective onboarding processes to ensure an impactful candidate/new hire experience.

Minimum Education/Experience:

Minimum of a Bachelor’s degree from an accredited institution and a minimum of two (2) years full time experience working in an human resources discipline, e.g. benefits, compensation, employment, etc.

OR

A minimum of five (5) years full time experience working in an human resources discipline, e.g. benefits, compensation, employment, etc.

All work experience must be within seven (7) years of date of application.

Required Knowledge, Skills & Abilities:

Strong interpersonal skills, creative problem-solving, and the ability to build consensus.

Excellent oral and written communication skills.

Knowledge of national trends and developments in human resources.

Experience in assisting managers through the hiring process.

Understanding of current employment practices.

Proficiency in the use of human resources employment systems.

Ability to develop and deliver presentations to individuals, small or large groups.

Proficient in the use of Microsoft Office or similar software, with strong skills in spreadsheets and databases.

Demonstrated ability to analyze data and produce valid reports, tables & charts.

Ability to work independently and reliably and ensure activities are completed to accomplish established objectives and outcomes.

Ability to develop and maintain positive relationships with internal and external customers.

Ability to enter data or information into a computer terminal, personal computer, or other keyboard device.

Ability to multitask under pressure, handling significant problems or tasks which come up simultaneously or unexpectedly.

Physical Demands/Working Conditions:

1. GENERAL PHYSICAL REQUIREMENTS:
Sedentary work: The person in this position may occasionally exert up to 10 pounds of force to grasp, lift, carry, push, pull or otherwise move objects.

2. PHYSICAL ACTIVITIES:
This position requires the person to frequently move about the HR Office and the OCCC campus.

This position requires the person to frequently communicate with and listen to applicants, vendors, administration, faculty, staff, students, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position requires the person to frequently operate a computer, other office machinery, and mobile devices to perform the essential functions of the position.

This position requires the person to frequently position self to access materials that may be above head or at ground level.

3. VISUAL ACUITY:
This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4. WORKING CONDITIONS:
This position performs the essential functions in an indoor office setting.

Job Duties (Duties Assignment Statement):

Review vacancies in anticipation of recruitment to ensure appropriate classification.
Develop and document procedures to streamline processes and ensure compliance with regulatory requirements.
Assist HR team in ensuring that all new employees are thoroughly onboarded which is necessary to help ensure retention and successful employment.
Coordinate the College’s employment procedure with hiring managers providing guidance and support at every step of the process as needed.
Communicate with faculty, administration, staff, applicants and the public for the purpose of providing information and assistance concerning employment.
Monitor a variety of processes ensuring efficient processing of applications.
Consult with hiring managers regarding recruiting needs and provide counsel on appropriate venues to recruit for position vacancies.
Prepare internal notices, design, coordinate and place advertisements in various publications for the purpose of recruiting and attracting qualified applicants.
Establish recruitment timelines for posting positions, evaluating applicant pools, and scheduling interviews.
Interpret transcripts, employment records, and employment regulations for the purpose of ensuring compliance with regulatory requirements.
Administer the College’s background check and drug testing policies to ensure compliance.
Provide support to departments in all hiring processes related to the hiring of student employees.
Develop and provide training regarding hiring practices and procedures, the background check policy, reference checks, and other topics as needed.
Develop and maintain positive working relationships with internal and external customers.
Advise the Vice President for Human Resources on significant matters and support the other members of Human Resources in the achievement of their goals and operational responsibilities.
Engage in individual professional development; attend training, workshops, etc. for current knowledge of changes or trends related to employment and compensation.
Responsible for the day-to-day activities associated with the Recruitment and Onboarding of new employees. Schedules all Onboarding and New Employee Orientation appointments. Responsible for quality control and timely processing of all hiring activities.
Provides training and technical support to end users on all related systems and applications.
Oversees the applicant tracking process, including troubleshooting and resolving applicant inquiries.
Advises and trains hiring managers and search committees on all aspects of recruiting to ensure fair, inclusive and efficient searches.
Develops employment advertisements, determining ad placement and schedules in appropriate media.
Reviews current processes to determine if they are efficient and effective. Makes recommendations for process improvements and implements. Develops and participates in the implementation of new systems and processes.
Responsible collaborating with other team members for group on-boarding events to ensure targeted employees groups are efficiently on boarded with all information and system updates completed in a timely manner.
Perform other job duties as assigned.

Contribute to a safe educational & working environment.
Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.
Complete quarterly health and safety training pursuant to OCCC’s established safety and health procedures and practices.
Participate in all applicable OCCC emergency, evacuation and shelter in place drills and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.
