Position Summary

The Office Associate, Veteran and Military Services providesgeneral administrative, clerical, project and case management support for thearea. This role utilizes basic to advanced office and research skills dependingupon assignment and work demands. This position also supports the functions ofthe Manager and other staff in this area.

ESSENTIAL JOB FUNCTIONS

CLERICAL

Provides administrativeand clerical support to the Manager and staff. Maintains and sets up a filingsystem that is virtual and physical. Completes and processes forms, records,and other documents in accordance with established procedures. Organizes theordering and storing of supplies as needed. Assists the department inscheduling meetings, including invitations, parking passes, and room scheduling.Assists with special events by coordinating rooms and partnering with otherdepartments to ensure successful set-up and execution of special events.Maintains confidential or sensitive records and information. 

Provides support for auditsincluding site visits and materials. Work with department to help edit programwebpages as needed. May be assigned to originate correspondence on behalf ofManager and maintain signature authority on delegated routine matters. Assistsstaff with obtaining price quotes and submission of purchase orders.

CUSTOMER SERVICE 

Provides customer services within the area including students, general public and others by: Furnishing and obtaining information; resolving routine problems; assisting with procedures, processes and requirements; performing other customer service responsibilities, as necessary. Maintains exceptional public relations and customer service to the general public, students, faculty, staff and others.

Greets and routes students and other visitors to the appropriate place, answers telephone, routes calls, takes messages, and provides general information about the area. Become familiar with general student and specific Veteran resources in order to assist students in completing necessary enrollment and VA paperwork.

Participates in proactive outreach to students and assists with student success initiatives. Initiates work orders such as housekeeping, general maintenance, etc. and follows through until completion. Furnishes and obtains information and works to resolve issues with the Manager.

Provides assistance with the department work study students to help cover projects needed to be completed within the area. Communicates with staff regarding messages and student questions in a timely manner. 

FINANCIAL 

Monitorsthe program budget accounts and informs the faculty on the amounts left in theaccounts, as needed.

OTHER DUTIES & RESPONSIBILITIES

Attends all required department meetings and training. Works a flexible schedule including overtime as required andapproved to meet workload demands. Regular, predictable,and punctual attendance is required. Otherduties as required.

Vision demands include close, relativelydetailed vision when focusing on a computer screen. Employee occasionally liftsor exerts force of up to 10 pounds when moving files, boxes and other materials.

Knowledge of: standard office procedures and practices; office administration;business English word usage, spelling, sentence structure, and punctuation;business and legal formats.

Minimum Qualifications: High School Diploma or GED. One (1) years’ experience in a customer serviceposition, with general computer skills using job-related word processing andspreadsheet software. State Motor Vehicle Operator's License or demonstrable ability to gainaccess to work site(s). An appropriatecombination of education, training, coursework and experience may qualify acandidate.
