Adjunct Faculty Coordinator

Position Summary

The Adjunct Faculty Coordinator performs independent duties to support the Office of Academic Affairs and the Vice President for Academic Affairs and Dean of the Faculty in the area of adjunct faculty communication, coordination, and database-keeping. This position serves as the University's point of contact for union representatives and adjunct faculty, including fielding telephone and email inquiries. The Adjunct Faculty Coordinator is responsible for tracking and reporting information, drafting and preparation of correspondence, reviewing and approving timesheets, and setting and recording meetings in regards to adjunct faculty matters at the University.

Opportunities for expanded role / responsibility may be available after an introductory period.

Responsibilities
  • Maintain the highest level of discretion and confidentiality.
  • Serve as the Office of Academic Affairs representative for CBA and adjunct faculty questions and concerns, and point of contact for the union representatives.
  • Develop thorough knowledge of the university's Collective Bargaining Agreement for adjunct faculty.
  • Organize and maintain adjunct faculty database in Microsoft Excel and create reports with great accuracy.
  • Enter adjunct faculty information, payroll, and activity pay into Workday.
  • Monitor and approve adjunct faculty hours in Workday.
  • Run adjunct activity reports in Workday as needed and as specified in the collective bargaining agreement.
  • Coordinate with staff to create and send out adjunct Appointment Letters (annually) and Course Assignment Letters (by semester).
  • Collaborate with IT and Registrar to prepare annual Adjunct Survey Tool via Google Forms and answer survey-related questions from adjunct faculty.
  • Send out emails as needed for adjunct faculty to bid on open courses.
  • Schedule meetings with union representatives and other adjunct-related parties, reserve rooms, prepare agendas, and record minutes.
  • Support the VPAA with tasks as part of the adjunct faculty Collective Bargaining Agreement.
  • Perform other duties as assigned.


Required Qualifications
  • Bachelor's degree from four-year college or university, or equivalent combination of education and experience
  • Exceptional oral and written communication skills with the ability to effectively support and serve a diverse population
  • Ability to maintain a high level of confidentiality and treat confidential matters with tact and discretion
  • Extensive knowledge of Microsoft Excel in particular and other Microsoft Office suite software
  • Exceptional organizational skill and ability to attend to deadlines
  • Ability to maintain a high level of accuracy and attention to detail
  • Ability to produce work that is consistently thorough and accurate
  • Ability to work independently and collaboratively
  • Ability to learn new processes with minimal supervision
  • Strong knowledge of basic office protocols and procedures


Preferred Qualifications
  • Minimum of two years' experience working in a unionized environment
  • Advanced knowledge of G-Suite document and calendaring management tools
  • Familiarity with the academic enterprise within a university and demonstrated knowledge of key issues, concepts, trends, and policies in higher education
