Administrative Coordinator, Entrepreneurship and Innovation

Overview

Macalester College seeks to hire a full-time Administrative Coordinator to provide well-organized, multi-faceted administrative support to ensure efficient operations of the Entrepreneurship & Innovation (E&I) department. This role will support E&I staff through leading all administrative processes for programs, events, student staff, Idea Lab and general department needs. We are seeking someone who brings creative and flexible solutions to administrative processes by executing administrative and communication duties in an analytical and proactive way.

Responsibilities

Provides year-round administration support for the full application life cycle (planning, marketing, selecting, implementing, evaluating and budgeting) for all E&I programs: MacNest programs, Live It Fund, MacStartups, Boost It Fund.

 

Coordinates all administrative workflows for E&I marquee event, Macathon. Provides administrative, communication, tech and on-site support for other events including the Idea Showcase, program showcases, information sessions, Task Force meetings, alumni and parent events and other events where Entrepreneurship and Innovation serves a role.

Supervises student staff and coordinates student worker program through the full life cycle of student experience.

Maintains the operations of the Idea Lab through managing inventory and supplies, working with external parties to utilize the space and as an administrative support to the Program Manager.

Drives website updates and ensures department G-Drive is well-maintained, organized, and secure. Oversees program survey and data collection, department pcard reconciliation, track internal and alumni participation and works with confidential information.  

 

Assists with new initiatives and special projects. Performs other duties as assigned.

Qualifications
  • High School Diploma or GED is required.
  • Vocational or technical training in the administrative/office field, Associate’s degree in the administrative/office field, or Bachelor’s degree in a related field is preferred.  Experience working in early stage organizations or companies is a plus.
  • 1-3 years of professional experience managing programming and administrative responsibilities in a dynamic and creative environment.
  • Excellent oral and written communication skills, including editing and proofreading.
  • Effective interpersonal and communication skills.
  • Familiarity and/or experience working with students is preferred.
  • Demonstrated proficiency with Microsoft Office, Gmail, Google Docs and Social Media.
  • Experience in website maintenance is a plus.
