The Basu program at the University of Virginia, Department of Medicine is looking to hire an administrative assistant to handle routine and advanced duties for their program and staff. This is a part-time position, initially 20 hours per week.

Duties include organize files electronically, create correspondence, prepare reports and documents, manage calendars to schedule appointments, sort mail, and offer general staff support. The ability to communicate effectively, with good oral and writing skills and a personable phone manner – is essential. Initiative and drive –responding to needs as they come in, able to multitask.

MINIMUM REQUIREMENTS

Education: High School diploma.
Experience: One year of relevant experience. Bachelor's degree may substitute for years of experience.
Licensure: None

  • Well-developed interpersonal skills, including the ability to deal effectively with all levels of personnel, both within and beyond the University.

  • Ability to maintain professional calendars with frequent changes, using software such as Microsoft Outlook.

  • Ability to provide excellent customer service to a diverse group of physicians and staff.

  • Organizational and time management skills.

  • Outstanding verbal and written communication skills.

  • Ability to make sound decisions based on competing and complex information from multiple sources.

  • Ability to interact with executive-level administrators.

  • Ability to work with tact on complex, sensitive, and confidential issues.

  • The analytical skills and judgment to interpret data and take the appropriate action in circumstances /situations.

PREFERRED REQUIREMENTS

  • Knowledge of HIPPA Guidelines.

  • Proficiency using Oasis and New Innovations

  • Proficiency in Epic and QGenda.

  • Ability to prepare and edit presentations.

  • Ability to create charts, graphs, and pivot tables.

  • Ability to maintain professional calendars with frequent changes.
