Job Description

This position requires some weekend hours during peak times of the year.

The Work Control Center (WCC) Assistant Manager position coordinates daily operations within the support services area of Business Intelligence, Analytics and Communication (BIAC). Reporting to the Manager of WCC, the Assistant Manager is responsible for both big picture understanding of the role of BIAC as well as the detailed planning and logistics of maintenance management, dispatching, WCC operations and staff supervision. Providing excellent customer service to stakeholders is an integral part of this role.

Student Staff Supervision

  • Supervises, monitors or coordinates activities of subordinates. Oversees the hiring, training, and supervision of department student support staff and part time temporary employees.
  • Completes all student staff scheduling, task assignments, and processing of payroll approvals and tracks hours worked. Assists with more specialized and difficult work activities of subordinates.
  • Creates, maintains and assesses an intentional recruitment and retention plan that generates a hardworking and dependable student staff who meet all position expectations.
  • Fosters teamwork, productivity, accountability, and a positive work environment among staff members.
  • Schedules staff for maximum efficiency and ensures staff are available to complete emergent, high priority work orders and high volume work periods.
  • Delegates assignments and establishes priorities for workflow and efficient use of available staff hours.Determines and assigns additional tasks and projects outside of work orders.
  • Conducts individual and group meetings as needed with staff to provide updates, training, and instructions.

Work Control Center Operations

  • Assists with oversight and management of all maintenance management/dispatch for 100+ buildings (including 21 residence halls) across campus including, but not limited to, plumbing, landscape, custodial, fire life safety, electrical, carpentry, paint, and utilities.Tracks and maintains work orders by building and trade to ensure high quality appearances in all campus spaces.
  • Ensures financial accuracy of work order charges through oversight and review, and takes corrective action when needed.
  • Assists the Manager for WCC with the database input/output of data to and from other campus softwares and resources.
  • Organizes and/or prepares a variety of data from CMMS and Enterprise Reporting for incorporation into reports; extracts and provides factual information using a variety of identifiable sources; analyzes, summarizes and interprets information, recommends action to be taken.
  • Ensures the office is regularly cleaned and organized to ensure safe and efficient operations and procedures.
  • Manages work order process including prioritizing needs, dispatching staff, and ensuring work is completed effectively and efficiently.
  • Communicates with trades, FS leadership and campus residents regarding status of requests and items needing follow-up.
  • Verifies work orders are completed and closed out in a timely manner.
  • Runs reports and assess data related to work orders as needed.
  • Liaison between WCC and After Hours messaging center and oversee the after-hours data.

Campus Partnerships and Collaboration

  • Regularly communicates with Campus Planning and Campus Operations (CAPCOT) Leadership, Facility Services (FS) Trade Staff, and the Campus Community to provide updates on their work order requests and respond to needs or inquiries.
  • Establishes and maintains strong relationships and communication with Housing and Campus Operations staff.
  • Manages and maintains building manager list and assist with quarterly meetings.
  • Serves on various committees and work groups.

Minimum Qualifications
  • High school degree AND
  • 1-2 years of coordinative program experience; OR,
  • Any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Demonstrated work experience in a related field.
  • Excellent verbal and written communication skills.
  • Supervision experience; student supervision and/or project on site supervision.
  • Project management experience.
  • Equipment maintenance and troubleshooting knowledge/experience; forklift operation.
  • Demonstrated proficiency in Microsoft Office and Google G-Suite.
  • Experience developing and following complex work instructions.
  • Ability to work according to standardized processes.
  • Experience in assessing quality and results.

  • Effective supervisory and training experience and skills.
  • Excellent organization, administrative, time management, and follow-up skills; high sense of urgency; demonstrated ability to successfully handle multiple projects concurrently; high attention to detail.

  • Current and valid driver’s license may be required upon employment.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.

Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus and NAU-Fort Defiance as these campuses have on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

Salary

Commensurate with experience.

**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.


FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents.
