Overview

The Office of Finance & Treasury at Princeton University seeks two lead Payroll Analysts to join the Payroll Services team. The Payroll Services department is dedicated to supporting the University’s teaching and research mission by striving to provide excellent customer service to all faculty, staff and students in the payments of their salaries, wages and stipends. The department is responsible for ensuring all employees are paid timely and accurately and that all payments and withholdings are made in accordance with federal and state laws and regulations. For calendar year 2020, the department processed payrolls in excess of $898 million in gross wages and more than 15,000 W-2 tax forms.

The Payroll Analysts will lead either the monthly or the bi-weekly payroll process with the positions responsible for processing the regular and supplemental payrolls and auditing the payroll data for quality control. The analysts are responsible for delivering excellent customer service to internal and external stakeholders, participating in training and communication efforts, and identifying operational efficiencies to strengthen the payroll services business environment.

Both positions will work closely with the partner lead analyst for cross training to ensure continuity of operations for both the monthly and bi-weekly payroll processes and act as collaborative partners with the Financial Service Center and the Global Financial Services team in responding to payroll and taxation issues affecting the University’s and PPPL’s faculty, researchers, staff and student populations.

Responsibilities

Process the Monthly or Biweekly and Supplemental Payrolls

  • Audit Monthly or Bi-Weekly and Supplemental Payrolls
  • Execute Quality Assurance of Source Data
  • Generate Payroll
  • Ensure that data is interfaced properly between various applications within PeopleSoft and other interfacing systems including PeopleSoft HRMS, Time & Labor, Labor Accounting, Student Accounts (student billings) and other systems as required. Collaborate with functional and technical resources to resolve issues.
  • Process moving expenses and other imputed expenditures to ensure proper recording in the payroll system.
  • Process Garnishments.
Provide Customer Service, Support Communication & Training Initiatives

  • Respond to customer inquiries via Service Now ticket system, emails and phone calls.
  • Assist with developing and delivering training content for campus on various payroll topics.
  • Assist with development of web and printed materials to provide process overviews, relevant forms, and deadlines to customers.
Support business process/system documentation, enhancements, testing and reporting

  • Responsible for increasing knowledge and proficiency in utilizing the PS HCM system to strengthen operational efficiency
  • Responsible for helping to identify efficiencies and improvement opportunities within the overall payroll services business environment
  • Participate in testing and rollout of initiatives and upgrades as needed.
Administer the Non-Resident Alien (NRA) Tax Notification Changes Process

  • Monitor shared production folder between Payroll Services and GFS for all tax notification changes and documentation
  • Enter tax changes into PS HCM as directed by GFS and ensure changes are appropriately reviewed by authorized Payroll Services staff
  • Work with GFS staff to resolve complex payroll taxation issues affecting the NRA population
Other

  • Cross train with the partner Lead Payroll Analyst to ensure continuity of operations for processing biweekly payroll cycles and support Union dues including review union agreements and ensure payroll withholding and setup is meeting the needs of each union. Coordinate changes or issues with Employee Relations and Payroll Management as needed.
  • Support special project requests from the Payroll Manager or Associate Director as needed.


Qualifications

Essential Qualifications

  • Bachelor’s degree or equivalent work experience
  • 4 to 5 years of related experience
  • Experience using a large Enterprise Resource Planning (ERP)Payroll application
  • Advanced level proficiency with Microsoft Office tools (Excel, Word, PowerPoint)
  • Attention to detail
  • Strong analytical, problem solving, time management and interpersonal skills
  • Sound judgment, diplomacy and discretion in handling confidential and sensitive information
Preferred Qualifications

  • Basic proficiency with Microsoft Access
  • Basic PeopleSoft query experience
  • Experience with system enhancement and tax update testing.
  • Experience querying data and/or using ad-hoc reporting tools
  • Knowledge of nonresident tax compliance as it relates to payroll processing and taxation
