Executive Assistant to the Dean Job Number Full/Part Time Schedule Salary 23000591 Full Time 8AM - 5PM $64,400 - $107,600 Position Information The Executive Assistant provides executive level coordination and support to the Dean in the Graduate School of Education (GSOE), Associate Dean, GSOE Director of Development and serves as a resource to the Assistant Deans with full responsibility for coordination and implementation of projects as assigned by the Dean, Associate Dean, GSOE Director of Development and/or Assistant Dean's. The incumbent must have a thorough knowledge of the School's academic and administrative programs. Independent judgment, sophisticated understanding of the academic and administrative issue with which the Dean is concerned, articulate expression, exercising tact, confidentiality, discretion and excellent interpersonal skills to represent and advise the Dean. The incumbent performs responsibilities and makes decisions based on a thorough understanding of the senior leadership priorities and expectations. The incumbent determines course of action, coordinates with all responsible parties, convenes meetings, and sets agendas to discuss and resolve issues, presents recommended course of action to senior leadership, and follows through on implementation of decisions. Prepares and reviews communication materials, ensures senior leadership is fully briefed on relevant issues, and prepares all background information supporting each issue. Independently strategizes and advises on university communications, meetings/travel schedules, and campus and community events. Coordinates Administrative Leadership meetings, Faculty Meetings (in conjunction with Faculty Chair) and task forces as assigned, develops and distributes agendas, conducts research, records highlights and tracks action items, and initiates follow-up as needed. Responsible for the security of filing systems which includes sensitive and confidential information. Responsible for establishing and maintaining a professional and collaborative working environment. Must be able to maintain the highest level of confidence, tact and decisiveness while working under the pressure of constantly changing priorities, unanticipated urgent demands, and multiple tasks and projects with competing deadlines. Minimum Requirements Small to mid-level project management skills.
Intermediate to advanced knowledge of common organization-specific computer applications.
Strong skills to communicate and influence effectively with all levels of staff, faculty, alumni/donors, students and external constituents, both verbally and in writing.
Advanced service orientation.
Ability to use a high level of discretion and maintain all confidentiality.
Advanced analytical/problem-solving skills.
Demonstrated, progressively responsible experience providing analytical and high-level administrative support to executive level administrators. Demonstrated ability to analyze/interpret information and determine issues requiring review/input/action.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Ability to use high-level discretion and maintain a high level of confidentiality. Strong skills in analyses and complex problem-solving.
Ability to multi-task with demanding timeframes.
Thorough knowledge of common organization-specific and other computer application programs.
Exceptional written and oral communication skills. Demonstrated correct usage of English, spelling, grammar, punctuation. Excellent interpersonal skills to work effectively with a wide variety of people from all levels of internal and external organizations.
Strong service orientation.
Advanced knowledge of the organization's processes, protocols and procedures.
A cultural competency in working with historically marginalized communities.
Experience working with people diverse across race, ethnicity, and language.
Preferred Qualifications Advising and counseling skills.

Advanced skill in using software programs, including Microsoft Word, Excel, PowerPoint, Access, and calendaring software. Knowledge of and experience with internet search engines for data gathering purposes.

Knowledge of federal regulations such as FERPA.

Five (5) years of closely related experience to handle sensitive confidential information, issues and requests generated by campus executives, major donors and others.
