Job Description Summary

The Part-Time Administrative Coordinator will provide high-level administrative and logistical support for the daily operations of the Penn Positive Psychology Center and the revenue-generating Penn Resilience Programs (PRP). This position will work closely with the PRP project management team, training team, PRP director, and Positive Psychology Center (PPC) leadership. Excellent organizing, communication, and multi-tasking skills are expected.

This is a regular part-time staff position. This person will be expected to work 22 hours per week.

Job Description


* Assist with virtual and face-to-face Penn Resilience Program delivery, including pre-session prep, travel arrangements with the training team, in-session support, and post-session documentation.

* Assist in conducting research literature reviews, synthesize and summarize for the Penn Resilience Program (PRP) team, to inform curriculum development and customization for our training clients.

* Assist with new client needs-analysis and discovery process, including note-taking and meeting summaries, data entry, and upkeep of data management system.

* Assist in the coordination of Penn Resilience Program (PRP) curriculum materials. Also, copyedit these extensive materials and maintain Timings Tracker files. Assist in the management of a database of research articles and a database of videos used in our training programs, via the Portfolio app.

* Assist with hiring and payment of PRP trainers and curriculum developers through Workday, including creating job requisitions and offer letters.

* Assist with purchasing through Ben Buys, Penn Purchasing Card, Purchase Order, and Non-PO payments. Use Concur to create reimbursement reports to reimburse travel for training team for the delivery of training programs. Manage office supplies inventory for the PPC.

* Assist with the search, collection, and posting of social media content (e.g., Twitter, Facebook) for the Positive Psychology Center (PPC), to build awareness and educate people about the PPC and Positive Psychology.


* High School Degree with 5 to 7 years of relevant professional experience, e.g. project management, administrative support, or equivalent combination of education and experience, is required.

* Bachelor's degree and a background in psychology is strongly preferred.

* Excellent organizing abilities, with a strong attention to detail and process.

* Proven ability to coordinate and prioritize multiple assignments simultaneously in a fast-paced environment and meet deadlines.

* Excellent verbal and written communication skills.

* Experience writing and editing client-facing material, checking content for proper grammar, spelling, and punctuation, as well as consistency of visual elements, and attaining high quality written content.

* Excellent interpersonal skills.

* Proven ability to thrive under time pressure and workload.

* Strong competence in MS Office, particularly MS PowerPoint and Excel.

* Strong sense of mission and interest in positive psychology.

* High standard of professionalism, excellence, and accountability.

* Proven ability to work as a collaborative member of a team that includes dual and remote leadership, and remote teammates.
