Minimum Qualifications:

Requires are least a high school diploma or equivalent. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Preferred Qualifications:

Associate degree or bachelor’s degree in Business or a related field.
3-5 years progressively responsible experience in administrative office positions.

Position Summary:

The Administrative Associate for Support Services is a professional, administrative position within the UHC. This position is responsible for effectively providing administrative support to the Director of Finance and Support Services as well as Support Services Managers. The position involves extensive and detailed knowledge of UHC and UGA policies and procedures and the ability to make appropriate judgment decisions in the absence of the Director of Finance and Support Services. The position involves the ability to communicate appropriately and professionally with diverse groups of staff. The incumbent is expected to possess active listening skills to help resolve patient/client and employee requests/issues. The position also involves managing multiple projects and tasks simultaneously, establishing priorities, and responding quickly and effectively in stressful situations.

Demonstrated competency in using Microsoft Office Suite and 365 and Adobe. Manage electronic calendars and meetings via Outlook. Efficiently and effectively manage large volumes of electronic data and files via shared drives, the internet and an internal intranet. Knowledge of UGA budget process and utilizing and manipulating Excel spreadsheets. Typing proficiently.

Duties/Responsibilities:

Provides administrative and organizational assistance for the Director of Finance and Support Services: Serves as administrative support for Environment of Care Committee, Pharmacy & Therapeutics Committee, and other ad hoc committees as needed. Assists with compiling information for reports and printing/distributing reports. Provides support for UHC Emergency Preparedness. Maintains potential injury causing event, hazard assessment, and hazardous chemical documentation. Prepares and distributes monthly Patient and Client Utilization Report. Maintains and updates Support Services policy and procedure manuals. Provides administrative and organizational assistance for the Support Services managers. Schedules meetings and appointments. Organizes files so items can be readily retrieved. Prepares after-hours telephone directory. Prepares office signage throughout the building. Maintains vehicle reservation log and vehicle keys, state credit cards, and parking passes. Tracks and maintains accurate and complete employee files related to annual training, continuing education and required vehicle usage documents. Collaborates with UHC human resources in maintaining employee competency records. Assists in compilation of information and preparation of annual budget. Prepares correspondence as needed. Maintains recurring dates document. Completes all required UGA training programs. Completes UHC Annual Training and demonstrates understanding, skill, and compliance with all required competencies.

Provides reception and administrative function: Serves in reception for Support Services administrative function: Serves in reception for Support Services and administrative support for UHC Administrative Suite in a gracious and professional manner. Answers phone for Support Services and Administrative Suite. Assists students, faculty, staff, and other guests as needed. Collaborates in office functions and responsibilities with other administrators and is accountable to the UHC leadership team.
