High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization is required and a minimum of four years' progressively responsible office support experience.Knowledge, Skills, & Abilities
- Working knowledge of AU policies and procedures
- Proficient in Microsoft Office and other computer software/databases
- Knowledge and understanding of Banner and other similar databases
- Enthusiastic and self-motivated; precise, accurate and outstanding attention to detail
- Ability to exercise sound judgment, make responsible decisions and maintain confidentiality
- Excellent verbal/written communication, interpersonal, customer service and organizational skills
- Ability to work independently and as a strong/reliable team member; assist with set-up and clean-up for events (lift/carry up to 30 lbs)
- Ability to prioritize and manage multiple tasks; easily learn new systems; adapt to changing environment; accurately/efficiently follow directions and complete tasks in a timely manner
- Provides assistance and course-related administrative support to the teaching faculty and the Director of the first-year Biomedical Sciences PhD program including, but not limited to: uploading student class materials, managing the course and faculty evaluation process, organizing the new student orientation process, maintaining class and room schedules, collecting and tracking student lab rotation forms, assessing and updating CRNs as required by the Registrar's Office and providing assistance and supporting the coordination of all aspects of the first year Biomedical Sciences PhD program. Assists with the exam process for the first-year Biomedical Sciences, PhD students including test-related paperwork, assembling and distributing exams, maintaining grade spreadsheets and entering final grades into Banner Serves as the receptionist/administrative assistant and primary office assistant; coordinates Graduate School communications; maintains day-to-day business operations; maintains supply inventory and prepares orders for the business manager as necessary; maintains filing systems, formats and proofreads documents, answers phones, assesses the priority of incoming communication and directs students/faculty/administrators/guests to the appropriate personnelUtilizes all aspects of multiple data systems including, but not limited to: Banner, One45, D2L and Microsoft Excel spreadsheets; generates reports and data-entry; Inputs and updates data for Biomedical Sciences PhD program CIR reportingCollects and distributes data for Student Learning Objectives and works closely with faculty to finalize and post outcomes; assists with rubrics and coordinates summaries; provides administrative assistance to the Dean, Vice Dean and TGS Senior StaffSchedules and coordinates the White Coat Ceremony and New Student Orientation; assists with the scheduling, coordination and implementation of multiple other large graduate school events and projectsPerforms all other related duties/tasks as assigned
