Job Description Summary:

This position will assist the Enrollment, Advising, Marketing and Financial Aid teams in the maintenance and optimization of the College’s Client Relationship Management (CRM) system, TargetX. This position helps facilitate a consistent delivery of communications via the CRM to current and potential students, ensures timely attention to new applications, helps train College personnel on use of the system and consults on the development and deployment of enrollment campaigns and related reports to track success.

Required Qualifications:

•Bachelor’s degree, preferably in Business or Information Technology
•One year of prior database experience with a Student Information System (SIS) or Customer Relationship Management system (CRM)
•Prior experience working with others in a professional office environment

Preferred Qualifications:

•Prior experience in higher education admissions or advising
•Prior experience assisting with the
development and implementation of work flows and processes
•Prior experience with TargetX or Salesforce CRM
•Prior experience with Ellucian Banner SIS

Other Information:

Essential Duties and Responsibilities:

•Maximize the functionality of the College’s CRM system to increase inquiries, applications, yield and retention of students
•Incorporate best practices and updates from the CRM vendor to ensure effective and optimized use of the CRM
•Inspects submitted applications for accuracy and data integrity prior to admittance decision and responsible for data entry of transcripts and test scores and creation of student record files both electronic and paper
•Produces and delivers regular activity reports to ensure proactive follow-up and a delightful customer experience for prospective students and their families

•Monitors system performance and assists with resolution of technical problems by evaluating and recommending process and system modifications to ensure system reliability and functionality.
•Consults with the SMC Office of Information Technology when necessary to resolve data or other technical issues
•Prepares and delivers introductory or refresher training via Salesforce Trailhead (or other means) to College CRM users
•Assists with development and maintenance of system’s procedure manuals and training materials
•Assists Admissions, Marketing and Financial Aid departments in the development and maintenance of the communications calendar and messaging sequence, including mailed packets for admitted students
•Uses excellent customer service when communicating with students throughout recruitment and admissions processes, as well as on-boarding including application completion, testing, registration, financial aid and payments
•Collaborates with the management team regarding the development of admissions and enrollment processes, marketing strategies and initiatives
•Uses technology systems to analyze qualitative and quantitative student enrollment data, as well as departmental efficiencies to allow for recommendations to increase productivity
•Participates in cross-training for all areas of enrollment services and student development including open houses, Roadrunner Days, New Student Orientations, Commencement and other events as directed
•Works on special projects, as assigned, such as updating web pages, researching potential lead sources, preparing recruitment materials and communications via social media
•Maintains appropriate competency in computer technology and identifies potential opportunities for advancing online student services
•Interacts college wide with all enrollment and student development staff to support, investigate, and resolve questions related to the student admission process
