POSITION SUMMARYThe Financial Aid Specialist will perform duties related to financial aid and scholarship information and resources, financial aid application and eligibility, counseling students and their parents, attending financial aid nights, and assisting with various financial aid functions on the ASUN Jonesboro Campus.
This position functions within a dynamic and challenging team-oriented work environment and the successful candidate will have the demonstrated ability to multi-task and work effectively with others while promoting a positive organizational culture by embodying the institutional values of community, diversity, innovation, integrity, student-centeredness and trust. This position is governed by state and federal laws and agency/institution policy.
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Meets with students and parents concerning the financial aid application process, types of financial aid available, and deadlines for applying for aid, and assists in completing the required forms when requested. Makes necessary referrals to other campus resources.
  • Reviews and analyzes aid applications and determines appropriate packaging of aid based on institutional, state, and federal procedures.
  • Makes adjustments for over-awards by determining the amount of aid to be cancelled or repaid, ensuring accuracy of figures, and contacting students regarding possible alternatives.
  • Assists with planning and implementing student aid workshops and other outreach programs as assigned.
  • Respond to inquiries in person and by phone from students regarding financial aid and scholarship information and process including admissions, registration, and records and their individual applications and document files.
  • Communicate with students and parents regarding such financial aid related matters as available financial aid programs, eligibility requirements, application procedures and deadlines, cost of education, and registration and enrollment policies and procedures.
  • Verify accuracy of documents and consistency of data from need analysis processor, federal tax returns, financial aid transcripts verification document, and student information; perform data analysis to identify discrepancies in data and determine action for resolution.
  • Process financial aid applications according to federal and state guidelines or regulations; deny aid if ineligible; perform needs analysis calculations according to guidelines and determine eligibility and appropriate award donors, adjustment, changes and/or corrections.
  • Ensures that all activities are conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).
  • Prepares and maintains student file records for verification, award processing, and check disbursement, including generating applicable letters and status reports.
  • Provides guidance to financial aid applicants and loan recipients concerning financial planning, resources, and their economic responsibilities related to awards.
  • Attends meetings and prepares reports on assigned projects.
  • Provides weekly reporting of completed and upcoming activities and tasks to the director Participates in annual training and professional organizations to keep abreast of new information and program changes to be implemented.
  • Performs other duties as assigned.

MINUMUM QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION AND EXPERIENCE Associate's degree and a minimum of three (3) years related experience or equivalent combination of education and experience is required. Exceptional customer service skills and experience with personal computers and on-line data systems required.
RESPONSIBILITY FOR FUNDS, PROPERTY and EQUIPMENT Shares responsibility for the maintenance and upkeep of assigned facilities and monitoring of equipment
SUPERVISORY RESPONSIBILITIES Not applicable.
COMMUNICATION SKILLS Knowledge of interviewing techniques. Ability to interview and obtain pertinent information. Ability to disseminate information orally and in writing. Ability to write reports, correspondence, and policy/procedure manuals so others will understand; ability to effectively present information and respond to questions from groups of students, faculty, administration or the general public. The ability to speak clearly so others can understand your instruction.
MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to prepare and interpret bar graphs.
CRITICAL THINKING SKILLS Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.
SUPERVISION RECEIVED Under general direction of the Director of Financial Aid, working from policies and general directives. Refers specific cases to supervisor unless clarification or interpretation of the organization's policy is when needed.
PLANNING Considerable responsibility with regard to general assignments in planning time, method, manner, and/or sequence of performance of own work.
DECISION MAKING Performs work operations which permit frequent opportunity for decision-making of minor importance and also frequent opportunity for decision-making of major importance, either of which would affect the work operations of small organizational component and the organization's customers.
ANALYTICAL ABILITY / PROBLEM SOLVING Moderately structured. Fairly broad activities using moderately structured procedures with only generally guided supervision. Interpolation of learned things in somewhat varied situations. Ability to monitor student enrollment activities. Ability to collect, analyze, and compile data. PARTICIPATION IN NATIONAL, REGIONAL, AND STATE ORGANIZATIONS FOR FINANCIAL AID PROFESSIONALS. Examples: National Association of Student Financial Aid Administrators (NASFAA) Southwest Association of Student Financial Aid Administrators (SWASFAA) Arkansas Association of Student Financial Aid Administrators (AASFAA) USE OF MACHINES, EQUIPMENT AND/OR COMPUTERS Regular use office equipment (desktop/laptop computer and software).
CONTACT WITH OTHERS Regular contacts with students, parents, and community leaders. Involves both furnishing and obtaining information and attempting to influence the decisions of those persons contacted. Regular contact with other university employees at all levels within the organization.
SOFTWARE SKILLS REQUIRED Intermediate: Word Processing/Typing Basic: Alphanumeric Data Entry, Database, Presentation/PowerPoint, and Spreadsheet
TOOLS AND TECHNOLOGY Campus Nexus Student and Banner experience is preferred
PHYSICAL ACTIVITIES The following physical activities described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.
ENVIRONMENTAL CONDITIONS There are no harmful environmental conditions that are present for this position. Some equipment may be hazardous. Work is typically performed in an office environment. Extensive use of computer requires long periods of sitting at a desk and reviewing student files. During peak periods incumbents will typically work extended hours, including some weekends. The noise level in the work environment is usually low to moderate.
