The Department for the Study of Religion (DSR) fosters scholarly excellence and innovation among all students and faculty in the humanities and social sciences.We explore the way religions have grown and developed, how they have been understood and transformed, and how we can think about them with discipline in our religiously plural environment. Our programs enable students to grasp religion as a critical aspect of the varied cultures and philosophies of the world and the interactions among them. We study religion as an historical and political phenomenon with wide ranging social, ethical, economic, and political effects. As a result, students at all levels can better understand how religion is at play in local and global contexts and can gain insight into the significant impact of religion on contemporary affairs. Our location in one of the most religiously diverse cities in the world is an important resource and responsibility as we facilitate intellectually informed and publicly minded conversations on religion in the public sphere through research, university networks, public events, and student engagement.

Your opportunity:

Under the general direction of the Associate Chair and reporting to the Department Manager, the Undergraduate Assistant is responsible for providing undergraduate student support and administrative functions of the Undergraduate Study of Religion program. The position acts as the first point of contact for undergraduate student program issues and concerns, scheduling appointments for prospective students, applicants, and current students to address individual needs. Assists the TA Coordinator in the operation of TA selection and hiring process, ensuring regular updates and communication regarding changes. Coordinates with the Financial Officer to ensure TA related teaching needs and opportunities are communicated to the Associate Chair and TA Coordinator. Troubleshoots timetabling and room booking conflicts and handles the day-to-day administrative functions of the Study of Religion Undergraduate Office.

The Undergraduate Assistant, with the Associate Chair, is responsible for student recruitment activities and events for the department. Provides reports and relevant undergraduate data to inform meeting the overall strategic goals of undergraduate curriculum renewal. The position will keep abreast of the rapidly changing platforms within the University for communicating curriculum-related information to students, and work with the Communications Officer to ensure effective communication with students. Provides administrative support directly to the Associate Chair as required.

Your responsibilities will include:

  • Scheduling appointments for prospective students, applicants, and current students to address individual needs
  • Preparing anddisseminating course and examination timetables
  • Maintaining course information on student information systems
  • Liaising with students and faculty to coordinate program activities
  • Troubleshooting timetabling and/or room booking conflicts
  • Coordinating meeting schedules, agendas, materials, action and follow-up items and minutes
  • Handling sensitive and/or confidential information
  • Collating and organizing data for various reports

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable equivalent combination of education and relevant experience.
  • Minimum two years recent and related experience in a post-secondary environment providing administrative support with undergraduate student services and program administration.
  • Experience providing front line student services and detailed information on programs of study and other related information through both face-to-face and digital media.
  • Experience providing administrative support to undergraduate programs, including entering student data and preparing reports; coordinating room assignments; and maintaining files and records.
  • Demonstrated experience coordinating timetable and exam schedules.
  • Experience organizing the logistics of meetings and special events.
  • Experience maintaining and creating databases and statistical reports.
  • Demonstrated advanced computer skills, including Microsoft Office (e.g. Word, Excel, PowerPoint, OneDrive, SharePoint).
  • Intermediate experience using ROSI, ROSI Express, Degree Explorer, Quercus, or similar student information systems, to enter data, retrieve information, and compile reports.
  • Excellent communication (oral and written) and interpersonal skills with the ability to promptly respond to inquiries with clarity.
  • Excellent problem-solving skills, and demonstrated initiative, tact, and good judgment.
  • Excellent time management skills including the ability to follow detailed instructions accurately, prioritize and deal with multiple tasks to ensure all deadlines are met.
  • Excellent interpersonal skills and customer service skills, including the ability to effectively interact with students, faculty, and the general public.

USW Pay Band 08 -- $54,851 with an annual step progression to a maximum of $70,146. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
