Summary: Oversee administration of the Office of Research and Diversity Training (ORDT) under the direction of the Assistant Dean for Inclusion, Diversity, and Equity (IDE) in Research Training:

  • Provide high level administrative and strategic support to the Assistant Dean and work closely with faculty and administrators in partner offices, including Biomedical Graduate Studies and the individual BGS Graduate Groups, Combined Degree and Physician Scholars Programs, Biomedical Postdoctoral Programs, and the Research Training Finance Office.
  • Manage directly or through staff the key initiatives of ORDT, including but not limited to: PhD, MD-PhD, and postdoctoral diversity recruitment and admissions; undergraduate and postbaccalaureate pipeline programs (SUIP and PennPREP); support for student affinity groups focused on IDE and individual diversity trainees; and write, manage, and support diversity-related grant and fellowship applications, as well as other fundraising.
  • Manage the ORDT Office: supervise an Assistant Director for Research Training Programs, and Administrative Coordinator, and several Graduate Student Fellows.


Key Responsibilities:

High level support for Assistant Dean: work closely with the Assistant Dean to conduct long-term strategic planning, develop new initiatives, and keep existing initiatives running smoothly; organize, develop agendas, and staff meetings of the ORDT Advisory Committee; organize and track activities with the graduate group faculty liaisons for recruitment and student support.

Program development and analysis: develop systems to collect and manage ORDT pipeline program data and assess effectiveness of program activities and trainee outcomes; analyze recruitment initiatives, including assessment of success of recruitment of underrepresented groups in aggregate and for each racial and ethnic group; make recommendations; create reports and presentations.

Diversity trainee recruitment and admissions: organize recruitment at national symposia (SACNAS, ABRCMS, Leadership Alliance) by BGS Graduate Group and Program liaisons; make connections with and coordinate visits to HBCUs and other MSIs, MARC/RISE programs by BGS Graduate Group and Program liaisons; oversee development recruiting materials and organization of virtual recruiting events and workshops for applicants; work with BGS Admissions Coordinator on ORDT-related system upgrades and records management in CollegeNet as well as policies for BGS application fee waivers; provide diversity trainee applicant input as requested; coordinate early admissions process with BGS; work with BPP on PennView events; work with BGS and Provost's Office on Penn Honor Diversity (PHD) Symposium and Fontaine Revisit Weekend; work with graduate groups on live and virtual open houses.

Diversity pipeline programs (overseeing work of Assistant Director and Graduate Student Interns): handle admissions with BGS Graduate Group admission committee members, coordinate lab placements with BGS Graduate Group Leadership, administer training activities, and serve as adviser for Summer Undergraduate Research Program (SUIP); work closely with other STEM summer undergrad internship programs (in BGS grad groups and beyond); handle admissions, coordinate lab placements with BGS Graduate Group Leadership, administer training activities, register scholars for classes, and serve as advisor for postbaccalaureate research training program (PennPREP).

Support for community, student affinity groups, and individual trainees: support programming of UR-related student groups (such as EEJust, SACNAS, INSPIRE, PGWise, LTBGS+); organize social and team-building activities for trainees, drop-in sessions/office hours, and mentoring circles; work closely with graduate group/program diversity officers to promote wellness activities and to address issues with individual trainees; develop programming to educate the community on best practices to cultivate and ultimately maintain an inclusive culture and develop methods to evaluate programming.

Support for program fundraising, including diversity-related grant and fellowship applications: write, manage, and support diversity-related R25 grants for PREP and SUIP, including competing renewals and progress report; manage details of other funding mechanisms for ORDT programs, including Genentech and Simmons; manage processes for applying and supporting individual PhD fellowships, including University Presidential Fellowships; Fontaine Fellowships; HHMI Gilliam, Soros, UNCF/Merck, Ford, and NIH F31 Fellowships; work with PSOM Development Office on fundraising initiatives

Office management: serve as lead administrator and day-to-day office manager; supervise Assistant Director and Administrative Coordinator; hire and supervise several Graduate Student Fellows each year; manage program budgets, working closely with the Research Training Finance Office; develop SOPs and manage scheduling for office initiatives; oversee publicity: website content, social media, brochures/flyers; manage program office space.

Qualifications:

Master's Degre and 5-7 years of experience or Bachelor's Degree and 7-10 years of experience or equivalent combination of education and experience required
