POSITION SUMMARY:

Working independently under the general direction of the Chief Administrative Officer (CAO), the Executive Coordinator provides executive support to the CAO in managing the administrative functions of OISE in the areas of Finance, Operations, Human Resources, Health and Safety, contract negotiations, risk management and general administration. The Executive Coordinator works with the Offices of the Dean and CAO to develop and implement comprehensive and well-defined business processes and systems to increase efficiency, minimize duplication, and optimize the use of resources, based on University financial, procurement, health and safety and risk management policies, as well as relevant government legislation.

As a key representative of the Office of the CAO, the Executive Coordinator communicates and interacts with all members of the OISE community, members of the University of Toronto’s administration and service areas, and external parties to ensure that OISE’s administrative responsibilities are performed efficiently and effectively. Responsibilities will include business process development, policy and legislation compliance, providing guidance, administrative processes, to enhance operational efficiencies and compliance; as well as, a range of ad-hoc special projects, analyses and issues management. Key areas of functional responsibility include: management of the Office of the Chief Administrative Officer; executive support to committees/meetings; including OISE community liaison; oversight of contracts and negotiations activities; and management of services marketing and communications support for the various functional areas.

QUALIFICATIONS REQUIRED:

I. EDUCATION:

University Degree in commerce/business or related discipline.

II. EXPERIENCE:

Minimum five years’ related experience in a senior administrative position. Experience in policy development and implementation of policies and processes to comply with legislation and university guidelines. Project and change management experience; experience in leveraging technology for process efficiency and effectiveness. Experience with AODA, records management, SharePoint, websites and other platforms are assets. Experience with the University’s Financial Information system (FIS), Human Resource Information System (HRIS) and USource or similar systems.

III. SKILLS/KNOWLEDGE:

Advanced knowledge of spreadsheet applications and good knowledge of word processing software, preferably in Excel, PowerPoint, Word. Advanced knowledge of Outlook (email and calendar) required. Proficient in platforms such as SharePoint, Teams and Zoom for team communication and collaboration. Knowledge of Microsoft 365 tools and familiarity with website communications.

Understanding of contract law, contract formulation, intellectual property, indemnification, insurance and tax as they relate to supply and service contracts. Familiarity with government legislation and experience with the interpretation and application of policies on finance, human resources, procurement, health and safety, and/or records management an asset.

IV. OTHER:

Ability to manage multiple priorities and meet deadlines in high volume professional environment. Excellent interpersonal skills with the ability to influence others through collegial relationships. Excellent oral and written communication skills. Effective problem solving. Ability to work independently and as part of a team. Excellent organizational skills. Tact, good judgment, diplomacy and initiative. Detail oriented with attention to accuracy. A high level of professionalism, independence, judgement, and the ability to maintain the highest level of confidentiality. Ability to understand and document processes and procedures. Strong advocate of equity, human rights and diversity issues.
