The Department of Anesthesiology has an opening for a full-time University Staff (unclassified) Business Services Program Manager (Education Program Manager) position.

University Position Description:

Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families.  Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Program Managers are responsible for the day-to-day operation of a program, function or work unit, including the development and implementation of processes consistent with college, school or departmental strategies and processes. 

Department-Specific Position Description:

The Education Program Manager is a full-time (1.0FTE) position which provides oversight for the Department of Anesthesiology Educational Programs and also provides expertise and resources to the faculty and education staff of the Department of Anesthesiology.  The department has multiple education interests including medical student teaching, residency programs, fellowships, Master’s degree program, continuing medical education, non-anesthesia learners, and staff training and development.

Working under the direction and guidance of the Director of Finance & Administration (DFA) and the Vice Chair of Education, the Education Program Manager is responsible for communicating, documenting and supporting all of the education efforts for the Department of Anesthesiology.  This includes maintaining relationships with the Senior Associate Dean of Education in the School of Medicine, serving as a liaison to the office of Graduate Medical Education and education staff at the rotation sites for the educational programs at the area hospitals, providing support and knowledge in program projects, and developing and initiating new or improving current education efforts. The Education Program Manager will work closely with the residency and fellowship program directors and other program directors in addition to the Vice Chair of Education regarding Education-specific business affairs, strategic planning, budgets, etc.

The Program Manager will maintain a database of educational statistics within the Department and is responsible for developing periodic reports for the Department administration, faculty and education staff as requested.  This position will be involved in enhancing current education programs.  The Program Manager will have fiscal responsibility and decision-making capability related to the education budgets, reporting up to the DFA and Vice Chair of Education on all fiscal matters. The Program Manager will seek new funding opportunities which fall in line with the educational program interests and will communicate these opportunities to the DFA and Education Faculty. Specific duties of the position include:

Education Unit Operations:

  • Support the educational mission of the Department including developing expertise in the Anesthesiologist Assistant (AA) program, residency programs, fellowships, and medical student program and their accrediting agencies
  • Aid in the development of new training programs and the implementation of new technology
  • Assist in the development and implementation of new training programs including the preparation of business plans
  • Manage the smooth flow of planning, preparation, and execution of activities related to maintaining program accreditation efforts, institutional and departmental compliance, recruitment, and student and staff wellness
  • Create and maintain educational database files within the Department including program statistics and documentation of Anesthesiology Assistant, residency, fellowship, medical student, and CME programs
  • This position will be responsible for capturing the content from faculty and staff and subsequently write the educational sections of the Department program review or other reviews as requested by the School of Medicine with oversight and guidance from the VC of Education and DFA. \\
  • Manage content and design on education pages on both the Department internet and intranet sites
  • Serve as a resource to the Vice Chair of Education and Program Directors and provide ongoing guidance to Program Coordinators
  • Administers the office space planning in Academic Office One (current educational home) with oversight and guidance from the VC of Education and DFA
Financial Administration:

  • With support and guidance from the DFA, create and define the structure and principal of educational financials
  • Submit financial reports regularly to the DFA and engage in the creation of business plans and budgets for Education programs including AA, Fellowship, Residency, MOCA, CME events, and Wellness
  • Oversee and approve Education funding sources and manage overall budget for department-funded students including Residents, Fellows, AAs, etc. with support and oversight from DFA
  • Oversee and manage education-related gifts
  • Monitor compliance of educational programs with hospital funding sources for all trainees
  • Responsible for tracking funding with grants acquired for educational programs and events
  • Utilize standard University and department systems for accounting, data processing, and other computer systems as necessary for financial management and statistical reporting
  • Work closely with the educational coordinators to ensure that the rules and policies of the organization are followed appropriately for educational and departmental events
  • Review and approve moonlighting payment information provided by the education coordinators
Education Planning and Strategy – Program Development and Management:

  • Manage strategic planning, coordination of efforts, and educational program operations
  • Assist in the development and oversight of execution of operational goals, objectives, practices, and procedures for educational activities including the development of policies and the design and implementation of programs, initiatives, courses, seminars, Grand Rounds, CME activities, etc.
  • Work closely with the DFA and Vice Chair of Education in establishing, implementing, and overseeing recruitment strategies, resources, policies, and procedures.
  • Administer pertinent State Fiscal Policies, CU Medicine, State and University rules and procedures, and applicable State and Federal laws and standards applicable to Education, lab safety, HIPAA, or patient confidentiality in education, as well as business management (personnel, accounting, auditing, etc.)
  • Develop, as needed, oversee, and maintain the structure for each educational mission and program in the Department of Anesthesiology to include number of students, scheduling system, tracking database, defining learning objectives, etc.
Human Resources:

  • Supervise education program staff (currently 8 staff members) including education coordinators, an event coordinator, and an administrative assistant
  • With support of the HR Program Manager, manage the hiring, development, performance management, corrective action, and termination (if necessary) of the Education Team members
  • Participate in the development of staff training programs in collaboration with the DFA and HR Program Manager
  • Assist departmental administration and human resources in coordination of recruitment for program coordinators and coverage for coordinators as needed
  • Monitor the growth and need of the various education programs to determine need for staffing growth and/or staffing model updates to ensure appropriate continued support
  • In coordination with the Vice Chair of Diversity, Equity, and Inclusion, Director of Diversity, Equity, and Inclusion for Education, Vice Chair of Education, and HR Manager, assist with the development and implementation of strategies and programs to increase the recruitment of diverse students, education faculty, and education staff
Salary and Benefits:

The salary range (or hiring range) for this position is $57,764 - $80,870

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications
Minimum Qualifications

A bachelor’s degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

The position requires extensive, diverse and progressively responsible experience, including direct responsibility coordinating or leading an education program to include developing and implementing processes, procedures, and/or budgets.

Preferred Qualifications:

  • Master’s degree in education, business, public administration, health care, finance, or a directly related field from an accredited institution
  • Experience working in academic medicine
  • Experience coordinating academic medical educational program(s)
  • Project management experience for educational initiatives
  • Experience designing programs within higher education
  • Experience leading teams
