Responsibilities

Responsible for management, development and organization of the alumni relations program. This includes primary responsibility for executing a strategy to engage with current students, alumni, the FSU Medical Alumni board and regional campus administrators and student support coordinators as a liaison to participation from alumni of the various clinical training sites. Plan, pursue and manage opportunities to engage with these audiences through activities not limited to reunions, luncheons, career panels, guest lectures and consistent and regular communication with alumni via channels including email, social media and U.S. mail. Evaluate alumni programs, services and events for alumni satisfactions using post-event surveys and Net Promoter Score (NPS) measurements.

Responsible for seeking and maintaining alumni data – and utilizing available assistance in that effort from OPS and other Public Affairs and Communications personnel – to ensure the college’s ability to accurately communicate through invitations, mailings, solicitations and other alumni engagement efforts. Data includes accurate mailing and other personal contact info, as well as information related to practice location and specialty. Also responsible for coordinating with the Division of Research and Graduate Programs to maintain updated information about Ph.D. alumni, with the School of Physician Assistant Practice to build and maintain data related to PA alumni and with the Office of Graduate Medical Education to build and maintain data related to graduates of College of Medicine-sponsored residency programs and fellowships.

Responsible for managing College of Medicine events to include graduating class award ceremony and reception, donor events and alumni affairs activities. Activities include negotiating and executing contractual agreements, invitations and mailings, maintaining updated mailing lists, catering, securing gifts and awards, arranging photography and videography, and working with graphic designers and editorial staff for the creation of programs. Functions also include the development of budget recommendations, overseeing the distribution of funds and reports. Also responsible for oversight of activities related to the college’s ongoing relationship with Dance Marathon at FSU and in the management of the college’s United Way campaign.

Responsible for tracking alumni giving and for managing efforts to ensure coordinated activities among numerous constituents (i.e., regional campuses) to encourage sustained growth in alumni giving. Work with the Director of Public Affairs and Communications and the college’s development officers to assess alumni giving opportunities to develop strategies consistent with the college’s unique mission. Manage the college’s Legacy Celebration program, quarterly Spark campaigns and the college’s participation in the annual FSU Great Give.

Responsible for working with the administrative specialist to coordinate events, including providing training and oversight of work product. Participates in development and implementation of department policies, procedures, goals and objectives. Provides oversight and guidance for the administrative specialist in maintaining an updated policies and procedures document in SharePoint to guide students and department administrative staff in event planning. Also responsible for managing the acquisition of and maintaining a balance of promotional items and other materials utilized by various departments and clinical-training site locations, projecting needs and costs, evaluating financial resources and working with participants and Finance and Administration to coordinate appropriate budget assignment.

Qualifications

Bachelor's degree and four years experience; or a high school diploma/equivalent and experience equal to eight years. (Note: post-high school education may substitute for experience at the equivalent rate.)

  • Experience in event planning.
  • Experience with applicable computer applications and programs, such as Microsoft Word, Excel, and Outlook, or comparable programs.
  • Skilled in public speaking.
  • Experience establishing and maintaining effective working relationships.
  • Experience communicating effectively verbally and in writing to include business writing and communications.
  • Experience demonstrating effective customer service skills.
  • Valid Florida or Georgia Driver's License, or the ability to obtain prior to hire.
Preferred
  • Experience developing and implementing policies, procedures, goals, and objectives.
  • Experience establishing and maintaining alumni and donor relations.
  • Experience in public relations procedures.
  • Experience writing and/or proofreading and editing written word and/or information in various formats.
  • Experience working in an office.
  • Experience preparing clear and concise reports, procedures, correspondences, and other written materials.
  • Experience effectively training and directing the work of others.
  • Experience prioritizing, organizing, and performing multiple work assignments simultaneously.
  • Experience performing accurately in a detail-oriented environment.
