Job Summary/Basic Function:

PRIMARY DAILY RESPONSIBILITY: Frontline customer service, LIT graduation, transcript backup

This student Records Specialist assists the Office of Records and Registration with many vital functions. Provides customer service to internal and external clients through multiple means of communication, including face-to-face, via telephone and through email. This position processes LIT graduation applications and performs data entry in multiple computer applications, monitors departmental email accounts and helps meet reporting needs within the department.

•Customer service representative for LU and LIT Records Department oCounter assistance
oDepartmental queue telephone calls
oDepartmental emails
•Field questions from customers related to transcripts, graduation, verification of enrollment, and registration
•Assist Graduation staff with processes for the graduation of Lamar University and LIT students, including:
oEnforces all degree requirements and enters college approved exceptions in the degree audit system for LIT
oManually sets students up to apply for graduation
oManually reviews audits to ensure degree clearance and certification for LIT
oMaintains [email protected] email box
oManually calculates GPA for LIT graduating students (Latin Honors) back up
oPrepare list of graduating students for commencement ceremony
oManually freeze student’s degree audits after awarding degrees for retention purposes
oMaintain master list of graduating students – as students apply or departments notify of changes, manually update master list and application status in Banner using appropriate codes
oPrepare diplomas for pick up and mail (print, stuff, label)
oAssist LU Graduation Coordinator with Tuition Rebate Process – Determine whether students who applied for tuition reimbursement meet the qualifications for this benefit
•Processed Additional or Replacement Diplomas
•Produces reports for internal and external clients via Argos
•Updating student records by performing data entry in multiple platforms including DegreeWorks and Internet Native Banner (INB)
•Assist with transcript production and archived work process
•Cross-train with other areas to ensure consistent adequate coverage
•Remain current with FERPA training and regulations and stay compliant
•Will work some evenings and weekends for commencement activities
•Complete special projects for the Records Department as requested, including running Argos reports.

Minimum Qualifications:

Minimum Qualifications:
High School Diploma or GED is required, degree preferred

A minimum of two (2) years of customer service and computer work experience – preferably in an office setting, call center, or help desk environment. Excellent customer service skills and the ability to maintain effective working relationships with others. Computer experience including data entry and use of Microsoft Office Suite (Outlook and Excel) is required. Excellent organizational, communication, time management and interpersonal skills are a must.

This position requires independent judgement, efficiency, and accuracy with a minimum amount of supervision. Must have careful attention to detail. The ability to communicate effectively both verbally and in writing is required.
