The Division of Student Life at the University of Tennessee, Knoxville invites applications for the position of Administrative Specialist in the Office of the Dean of Students. This is a non-exempt, 12 month, full-time, non-tenure track staff position.

The Division: The Division of Student Life is comprised of nearly 500 staff that serve our students through 19 departments and functions. Staff are actively engaged in the lives of our students, living and learning with them in our residence halls, student union, and other campus environments. The Department: The Office of the Dean of Students is committed to supporting the mission of the division and university. Our office provides opportunities for meaningful experiences for students in three areas: mattering and belonging, leadership and service, and compassionate care. The Office of the Dean of Students also includes the Jones Center for Leadership and Service, Center for Student Engagement, Multicultural Student Life, the Pride Center, Office of Sorority and Fraternity Life, the Student Government Association, and Student Media. 

The Position: This position provides executive administrative support to the Associate Vice Chancellor for Student Life and Dean of Students (AVC/DOS) supporting daily department operations through coordination and administration of activities including those pertaining to supervision of student support staff and development of internal policies and procedures.

Responsibilities: 

Administrative Support
    •    Maintains appointment calendars for the AVC/DOS and Associate Dean(s) of Students (ADOS); 
    •    Prepares and organizes meeting materials; 
    •    Plans and organizes meeting/events;
    •    Arranges AVC/DOS and ADOS travel and lodging processes;
    •    Addresses questions/concerns from students, families and guests to the office; 
    •    Composes and/or edits written correspondence and digital presentations; 
    •    Provides backup administrative support for the ADOS, coordinators, and support staff

Department Operations
    •    Hires, trains, supervises, and evaluates student assistants;
    •    Uses various platforms including Banner, CS Gold, and Maxient to create/maintain student files needed for student concerns, disciplinary,      emergency, and/or illness situations; 
    •    Verifies graduate assistant tuition fee wavers; 
    •    Verifies Student Program & Service Fees (SPSF) usage; 
    •    Coordinates NASPA Undergraduate Fellows Program internship; 
    •    Organizes/manages bias incident reports and Bias Education and Response Team (BERT) meetings and information in coordination with bias education coordinator; 
    •    Manages/oversees DOS Maxient operating functions and provide trainings to professional and support staff; 
    •    Updates/maintains office on-boarding manual and training materials; 
    •    Provides support for committees and scholarships; 
    •    Manages Student Emergency Fund applications and correspondence; 
    •    Manages Office of the Dean of Students email account;
    •    Executes other duties as assigned 



Qualifications
Required Qualifications:
This position requires an associate’s degree and two years of administrative support experience. Preferred experience includes two years of administrative support experience in a higher education setting, experience in crisis management, and experience as an executive assistant.

    •    Strong organizational, listening and communication skills; 
    •    Ability to prioritize and execute tasks; 
    •    Strong customer service skills; 
    •    Ability to manage details within an office setting; 
    •    Knowledge of FERPA compliance and policies; 
    •    Ability to adhere to confidentiality of records and information; 
    •    Strong technology and software management skills (i.e., Microsoft Excel, PowerPoint, SharePoint, IRIS, etc.) 

Salary: The salary for this position is commensurate with experience and other qualifications and is accompanied by a standard university benefits package.
