Under the direction of UCLA Facilities Management Executive Officer, the incumbent serves as the Business Analyst and Project Analyst for Facilities Management (FM) Housing and Hospitality Services' UCLA Maximo Work Management and UCLA MyTime (Kronos Workforce Management), along with UCLA Facilities Service Request, UCLA Billing on the Web, Facilities Capital Projects Manager (IBM Tririga), UCLA Building Analytics (Skyspark), UCLA Form Builder (Laserfiche), Project Management Tools (Rally, Basecamp) and the Facilities Management KPI Dashboard type applications. These systems and applications among others are critical to the business operations and offerings to the campus community.
Incumbent performs business process analysis to create trainings and user manuals and flowchart/work processes for implementation of new work processes. Incumbent makes recommendations that impact FM and in relation, the campus. Provides on a continuing basis, advanced consulting service regarding FM business practices/goals and integration of best practices and goals for successful outcomes. Plans and develops processes by conferring with high-level management to determine problems and feasibility of departmental requests. Analyzes proposed new business processes or changes to existing processes in terms of cost, benefit, timeliness, and effectiveness.
The incumbent will work closely with UCLA Facilities Management (FM) stakeholders and clients, IT applications development and maintenance programmer/analysts, Managers to identify, analyze and document future information application requirements pursuant to FM's Strategic Plan and departmental goals. The incumbent will also have the responsibility of leading joint design efforts to offer a new solution or value proposition to FM clients, automate processing or to improve existing business processes and associated information systems. The incumbent will also be responsible for defining the appropriate methodologies and best practices for performing business analysis and design in the support of core organizational functions and business processes. This includes assessing technologies and spearheading initiatives that will align Facilities Management and its clients with industry standards and best practices along with UCOP and UCLA policies and guidelines. This, in turn, will optimize work processes and programs that support Facilities Management's clients and the UCLA campus community as a whole.
