Job Details

Reporting to the Director of Admissions and Onboarding, the Admission Assistant is responsible for providing front line customer support, processing student applications for admission and onboarding, and for providing data entry, clerical, and project support for the Admissions Office.

  • Provide front-line customer service in the Admissions and Onboarding Department. This includes: Interacts professionally with current and prospective students and their family members; Greet guests to the Admissions Office and help determine their needs, including accurately referring guests to appropriate campus resources; Assist prospective students in completing the Application for Admission using the computer kiosks in the suite lobby; Answer telephone calls and provides information regarding HCC Admission services, processes and procedures; Makes appointments for Admission Counselors; Contributes to a positive and welcoming environment in the office by providing excellent customer service and demonstrating professionalism and courtesy to guests and colleagues.
  • Process documents in support of students’ applications for admission. This includes: Input higher school and college transcript data in CRM and Banner; Utilizing Ellucian CRM and Banner INB student information system, review and process student applications for acceptance to the college for walk-in students applying in-person; Process supplemental application documentation; Communicates processing and/or data issues to Enrollment Operations Manager; Updates electronic prospective student records as necessary.
  • Performs administrative tasks associated with the work of the Admissions Office. This includes: Schedule appointments for students with admissions counselors and dual enrollment counselors; Process incoming mail and distribute as appropriate; Check fax machine and process appropriately; Send faxes for students; File forms and documents in student files; Provide support for operations and admission counseling staff as requested to include, but not limited to, filing, information lookup via web, CRM, Banner INB, or other sources; Placing calls to prospective students; Preparing mailings; Making copies as necessary.
  • Maintain FERPA compliance. This includes: Handle student records with confidentiality and within the guidelines of the Family Educational Rights and Privacy Act (FERPA).
  • Provide support for special projects and initiatives, including, but not limited to, updates to the online application for admission; Perform research and data look-ups using the Internet, Ellucian CRM, and Banner INB as required; Assist in identifying processes and procedures to improve student enrollment experiences; Provide summary information (verbally and in writing) related to assigned project work.
  • Qualifications

    REQUIRED:Effective communication skills; Excellent customer service skills; Team player with excellent interpersonal skills; Ability to multi-task; Well organized; Ability to work effectively with a diverse faculty, staff and student body; Experience working with computers, including using databases and Microsoft Office; Experience working in an office setting.

    PREFERRED: Bilingual (English/Spanish)

    Part-Time, Benefited Position

    Hours: 18.5 hours/week; Preferred work schedule: Tuesday and Wednesday 10:00AM – 2:30PM; Thursday 10:30AM – 3:00PM, and Friday 10:30AM – 4:00PM

    Enrollment

    Located in Western Massachusetts' scenic Pioneer Valley, HCC draws students from more than 70 cities and towns throughout the region and from beyond. As a gateway to quality, accessible education and career advancement, more than 100,000 students have come through the doors seeking to realize their dreams and aspirations. HCC boasts the largest enrollment and awards the highest number of associate degrees and certificates among Western Massachusetts community colleges. At the college's 65th commencement in May 2012,a total of 1,000 students received approximately 1,026 associate degrees and certificates.     Programs

    HCC offers more than 100 associate degree and certificate options, as well as adult basic education/GED programs, education and training for business and industry, and noncredit community service personal and professional enrichment courses.     Transfer

    HCC has the highest transfer rate of any community college statewide, holding articulation agreements with more than 27 colleges and universities. Many students attend HCC with the intention of transferring to a four-year college or university. And many do so after graduating-often with generous and even full scholarships-to public and private four-year colleges and universities across the country. Locally, HCC is the largest feeder institution for Westfield State College and UMASS Amherst.
