Knowledge and experience in providing advanced administrative support
Experience with making travel arrangements and processing travel reimbursements
Demonstrated knowledge of purchasing and procurement methods and procedures
Proficient in Microsoft Office
Computer skills to include effective use of an ERP financial system, records management system and spreadsheets
Ability to work under pressure, work without supervision, handle multi-task projects and complete work within established deadlines
Skill in basic math, bookkeeping/accounting
Ability to coordinate, gather information and compile data as needed for events/meetings
Ability to prepare and proofread clear, concise, and grammatically correct correspondence.
Bachelor’s degree or some college level course work
Minimum three years of experience as an administrative assistant
Knowledge of University/Academic policies and procedures
Knowledge of grants, contracts and patents
Responsible for providing advanced administrative support and general clerical support to directors and to ORSP staff as needed.Job Duties:
Perform advanced administrative support duties and responsible for the administrative operations of the office
Maintain multiple calendars
Supervise and oversee yearly inventory
Schedule, coordinate, gather information and compile data as needed for events/meetings.
Maintain in-office accounts and website
Collect data and prepare reports
Prepare and proofread reports, correspondence and forms
Organize mail-outs, copy and fax documents
Monitor and/or inventory office supplies
Answer multi-line phone and transfer calls as needed as well as take detailed messages, use FAS/SAP and EASY online systems
Maintain confidentiality with office relations and personnel files
Assist with travel arrangements. Prepare travel requests and reimbursements using Travel Tracks
Perform other duties as assigned
