Position Title:Fiscal Coordinator
Position Summary:As an essential member of the Arts & Sciences Dean’s Office administrative team, the Fiscal Coordinator supports the fiscal and faculty personnel teams by preparing timely and accurate fiscal transactions, reconciliations, analyses, and reports.
The primary duties of this position include:
•Timely preparation, submission, and tracking of personnel/payment transactions using established forms, such as Personnel Action Forms (PAFs), Electronic PAFs (EPAFs), and Professional Services Agreements (PSAs).
•Preparation and submission of labor distributions, journal vouchers, and Foundation check requests.
•Expense review, tracking and reconciliation of over 100 local indexes/private gift funds.
•Tracking faculty administrative appointments (e.g. chair/director) and preparation of appointment letters and corresponding stipends.
•Preparing Dean’s Office correspondence that includes confidential information.
•Maintaining academic online unit files and folders used for sharing budget and expenditure information, including granting and removing access to sensitive and confidential information.
•Serving as first point of contact for A&S unit administrators’ process questions and assisting with administrative staff training.
•High school graduate or equivalent
•Demonstrated attention to detail
•Ability to work with numbers with a high degree of accuracy
•Demonstrated ability to meet deadlines
•Experience managing multiple competing priorities in a fast-paced environment
•Experience with fiscal administration
•Demonstrated ability to maintain confidentiality
•Proficient computer skills to include word processing and spreadsheet software
•Demonstrated ability to think and act independently and use initiative
•Strong problem solving skills
•Ability to evaluate options and generate solutions
•Ability to communicate effectively orally and in writing
Associate’s or a bachelor’s degree from an accredited institution
•Experience working in a higher educational environment
•Experience interpreting, applying, and communicating a variety of policies and procedures in accordance with state, federal, College of William and Mary, and grantor guidelines
•Experience working with all levels of internal and external customers
•Experience with the Banner and Qlik
•Proficient with Microsoft Office (Excel, Word, Outlook)
•Proficient with Adobe Acrobat, including creating and combining forms and documents.
•Experience with file sharing applications, such as Box.
