Clinical Service Representative III

JOB DESCRIPTION:

The Clinical Services Representative III described herein is a pivotal position in the Crisis & Emergency Response Center (a service of UF Counseling & Wellness Center). The incumbent manages activities at CERC and provides administrative support to the Associate Director and to the Consultation and Referral Team Coordinator. He/she provides specific customer services that may include handling patient phone calls and scheduling appointments and handles patient information. The incumbent manages client flow, calls, scheduling, and customer service. He/she performs highly diversified and detailed tasks, utilizes a high degree of organizational skills, interacts with many areas in the Division of Student Affairs, and communicates well with others from within and outside of the Counseling & Wellness Center.

Duties include the following:

  • Provides administrative support to the Associate Director and to the Consultation and Referral Team Coordinator. Assists with special projects.
  • Manages activities at Crisis and Emergency Resource Center, providing leadership, expert guidance, supervision and oversight.
  • Trains and Supervises clinical support staff on Center policies and procedures.
  • Coordinates support staff scheduling to ensure reception area have coverage.
  • Supervises compliance to Division of Student affairs Customer Service, FERPA, and HIPPA guides.
  • Manages records in accordance with university, state, and HIPAA guidelines.
  • Maintains access to existing medical records. Retrieves, releases, and requests medical records. Scans client records/information into Titanium to provide electronic access for provider approval. Verifies the accuracy and completeness of scanned documents.
  • Works under supervision of Clinical Services Representative Supervisor to interview, hire, orient, evaluate and supervise clinical support staff positions.
  • Coordinates support staff scheduling to ensure reception areas have coverage.
  • Serves as information expert for student clients and other members of the campus community.
  • Instructs Center clients in intake process and assessment instruments.
  • Provides instruction to clients regarding release of confidential health information.
  • Acts as training and info resource for new and existing clinic applications.
  • Provides initial assessment of clients for triage and/or consultation with faculty and staff.
  • Recommends operations changes and facilitates policy and procedures changes as needed.
  • Determines and schedules type of counseling services needed based on information given.
  • Manages multi-line phone system, including voice mail and programming of automatic hours system.
  • Manages the scheduling of data entry and verification of confidential data in Center’s Client Data and Assessment system, Collects information to prepare reports, Classifies, indexes, files and retrieves clinical records, Reviews records for data system accuracy and completeness.
  • Instructs Center clients in intake process and assessment instruments.
  • Provides instruction to clients regarding release of confidential health information.
  • Acts as training and info resource for new and existing clinic applications.
  • Provides initial assessment of clients for triage and/or consultation with faculty and staff.
  • Recommends operations changes and facilitates policy and procedures changes as needed.
  • Determines and schedules type of counseling services needed based on information given.

ADVERTISED SALARY:

$31,320 - $45,700

MINIMUM REQUIREMENTS:

High school diploma or equivalent and four years of medical office experience, that includes the knowledge of CPT and ICD-9 coding guidelines as well as basic medical terminology. Appropriate college coursework or vocational/technical training may substitute an equivalent rate for the required experience.

PREFERRED QUALIFICATIONS:

  • Experienced in medical clinic appointment scheduling
  • Experience with medical records systems
  • Experience with Microsoft Office
  • Ability to establish and maintain effective working relationships with others
  • Ability to organize and maintain accurate files
  • Ability to communicate effectively verbally and in writing
  • Ability to triage phone calls, take accurate messages, and page counselors
  • Ability to understand policies, procedures, and regulations related to patient (required)
  • Ability to work with health care professionals and affiliated staff
