JourneyDescription of primary duties and responsibilities::
The primary purpose of this position will be to provide program support to the Employment unit. This position’s primary area of concentration is to coordinate all student and temporary employment actions to include new hires, rehires, and assignment revisions. The specialist will apply Federal, State and University guidelines when approving hiring requests and will provide routine and technical assistance to hiring managers of student and temporary employees.
The Specialist will:
-Use PeopleAdmin Online Employment System to review and approve student and temporary employment actions. View Banner Native to monitor information and ensure employee assignments do not exceed the allowed hours and duration set forth by State and University guidelines, ensure hiring managers complete the necessary documentation and forms with required information; partner with hiring managers and approving departments regarding issues that need immediate attention to avoid delays in the hiring process. Close postings once filled to ensure timely notification to non-selected applicants, refresh and maintain continuous pools. Notify student and temporary employees once hire is approved and provide further instruction for starting work. Process time sensitive actions to ensure the integrity of employee records.
-Coordinate and facilitate Orientation for non-permanent employees.
-Provide routine technical assistance to hiring managers throughout the approval process.
-Record employee and position information in PeopleAdmin and E-Verify. Execute Form I-9 Certification; create new cases and resolve open cases in E-Verify to confirm new hire employment eligibility.
-Ensure review for accuracy and completeness to process student and temporary assignment agreements within bi-weekly and monthly HR closeout deadlines.
-Create and/or refine related processes for effectiveness and efficiency of the work unit. -Assist the Employment Team with activities to include job fairs, updating the employment website and special projects. Assist in the updating of training aids and coordinate with updates to the employment website.
Graduation from a four year college or university; or an equivalent combination of training and experience.Knowledge skills and abilities::
Demonstrated understanding of HR policies and procedures related employment programs. Ability to demonstrate and apply this knowledge in performance of review and processing of employment hiring recommendations for non-permanent employees. Ability to educate clients/customers and staff on processes.
Ability to compile, assimilate and organize both printed and electronic information. Ability to apply knowledge of data collection, review, and electronic and manual storage. Ability to follow best practices and maintain records in accordance with established procedures.
Ability to utilize office equipment and other relevant technology (software and systems) to meet organizational needs.
Ability to identify and understand issues, problems, and opportunities; use effective approaches for choosing a course of action or developing appropriate solutions.
Ability to clearly convey information and ideas through a variety of media to individuals or groups.
Ability to present ideas clearly and effectively in written form; ability to adjust language or terminology to meet the needs of the audience; ability to use correct grammar, organization, and structure.Preferred Qualifications::
-Four year degree in HR or related field
-One year of experience in a Human Resources role
-Working knowledge of Human Resources Information Systems
