The UVA Office of Pre-award Research Administration (OPRA) in the School of Engineering & Applied Science is seeking a Grants and Contracts Administrator or a Senior Grants and Contracts Administrator. OPRA provides comprehensive service in proposal submission, post-submission pre-award administration, budgeting support for internal and external grant applications, as well as some life cycle award management services and non-funded agreement initiation.

The incumbent will work as part of a team and under guidance to manage proposal submission and post-submission pre-award activities related to research and sponsored projects, such as federal grants, foundation grants, and industrial contracts, as well as for internal applications.

Grants and Contracts Administrator Responsibilities:

  • Manage grant submission process, fill out forms, prepare letters, upload proposal documents into sponsor portals, , and mail proposal hardcopies.

  • Prepare and revise grant budgets.

  • Review proposals for conformity with University, State, and Sponsor guidelines.

  • Resolve problems through contact with administrators internal to the University as well as external collaborators and recommend appropriate changes.

  • Mentor new administrators and provide guidance.

  • Provide technical and administrative assistance to faculty and administrators in regard to sponsor regulations.

  • Maintain complete and accurate file information.

  • In addition to the above job responsibilities, other duties may be assigned.

Senior Grants and Contracts Administrator Responsibilities:

  • Senior Grants and Contracts Administrators perform all the duties of Grants and Contracts Administrators.

  • Advise faculty in the preparation and submission of proposals to a variety of sponsors in accordance with funding agency policies and the fiscal soundness of grant-supported centers.

  • Collect required data in preparation of grant applications, renewals and grant reports.

  • Prepare budgets specific to sponsor guidelines.

  • Contact sponsors when there is a need for clarification on policies and procedures for grant preparation.

  • In addition to the above job responsibilities, other duties may be assigned.

To be considered at the Grants and Contracts Administrator a bachelor’s degree with at least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree. Certified Research Administrator (CRA) certification is preferred. Preference will be given to candidates with experience with proposals to sponsors including NSF, NIH, DoD, industry, foundations, FDP partners, NASA, USDA. Experience with larger proposals with multi-PI, multi-institute proposals or consortiums is preferred. Experience with transfer of sponsored awards, budgeting/reviewing cost share requirements, and experience with proposals requiring both grant year and fiscal year budgets is preferred.

To be considered at the Senior Grants and Contracts Administrator a Bachelor's degree with five years of grant and contract experience is required. Four additional years of experience may be accepted in lieu of degree. Certified Research Administrator (CRA) certification is preferred. Preference will be given to candidates experience with complex federal sponsors such as ARPA-E, DOD, DARPA, DOE. Experience with proposal including non-FDP subs (universities, foreign entities, or industry subs) is preferred. Experience budgeting by tasks and experience with proposals for federal contracts or OTAs that may require small business subcontracting plans, etc.is preferred.
