The College of Nursing is seeking a full-time classified Graduate Placement Scheduler (Admin Asst III).

Job Summary:

The Graduate Placement Specialist supports the operations of graduate placements both onsite and offsite.  This position provides administrative support for all aspects of the graduate placements processes.

  • Graduate Placements Administration - 80%
    • Drafts letters of attestation
    • Drafts Hours of Verification reports
    • Sends Letter of Good Standing (LOGS) in a timely manner
    • Collaborate with Graduate Program Specialty Directors
    • Collaborate with Assistant Dean for Graduate Programs
    • Coordination for Grad CEC/Sim scheduling and processes
    • Maintain preceptor list including tracking all specialty placements
    • Communication with agencies for compliance data and required placement documents and systems onboarding.
    • Enters data into InPlace to ensure accurate and consistent information for reporting
    • Provide faculty support related to InPlace
    • Monitor student payment for database management utilization
    • Maintain information on AHEC housing
    • Help prepare Rural site reports
  • Data Coordination - 15%
    • Related to the Graduate Programs:
    • Enters data into My Clinical Exchange (mCE), which includes creating clinical placement in the system for student placement and compliance record transfer from American Data Bank
    • Enters data into InPlace and any other relevant software/database related to graduate clinical placements.
    • Audits data to ensure accuracy and notifies appropriate individuals to resolve any data errors/inconsistencies.
    • Learn all data systems in order to help pull data when requested by relevant parties, including leadership.
    • Run consistent reports on data in all relevant systems within Experiential Learning related to graduate placements.
    • Data management development with additional platform database management required by outside clinical affiliating agencies.
  • Compliance Support - 5%
    • Supports compliance related to the Graduate Programs; trains and serves as a back-up for all graduate compliance processes.
  • Salary and Benefits

    The salary range (or hiring range) for this position has been established at $43,188 to $47,748.

    The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

    Qualifications

    Minimum Qualifications

    • Three years of experience in an occupational field related to the work assigned to the position.
    • Proficient with Microsoft programs
    • Proficient with database software programs
    • Strong analytical skills
    Substitutes: Appropriate education will substitute for the required experience on a year-for-year basis.

    Preferred Qualifications

     

    • Previous complex scheduling within an educational setting preferred
    • Experience working with students and faculty in an educational environment 
    • Experience scheduling, coordinating and providing support for small and large scale meetings and special events
    • Experience working in a liaison or main point of contact role answering questions and providing information and support
    • Experiencing receiving direction and task responsibilities from multiple sources 
     

    Knowledge, Skills and Abilities

    • Clear and concise communication skills
    • Ability to work independently and within a team
    • Proficiency in Microsoft Office for scheduling, email, data management and correspondence
    • Outstanding customer service skills and the commitment to service quality 
    • Ability to effectively organize, multi-task, and prioritize duties and tasks  
    • Ability to work in a fast-paced, high volume environment
    • Excellent verbal and written skills  
    • Excellent interpersonal skills and the ability to establish rapport with a wide variety of individuals
    • Strong attention to detail 
    • Strong computer skills (Microsoft Office, Electronic Records Management)
