Administrative Coordinator I - County Technical Assistance Services (Nashville, TN)

Regular Full-time, Market Range MR08

The purpose of this position is to provide primary support to the CTAS Training Department in the planning, coordinating, promoting, administering and delivery of a broad range of training and professional development programs for local government officials and employees. These courses are delivered, statewide, in each region of the state through the County Officials' Certificate Training Program (COCTP) as well as other CTAS (County Technical Assistance Service) training programs. Additionally, this position provides general administrative support to the management team, central office staff and the consultants. This position provides phone support, copying, filing, and accounting services to the agency and customers. This position is responsible for the collection and deposit of approximately $100,00 in training fees. This position must maintain an accurate accounting of fees received and provide financial reports as requested.  

Duties and Responsibilities:

Agency Support:

Maintains LMS (learning management system) information including creating and opening/closing sessions and transcript maintenance.Serves as first-line support to county officials and employees and IPS sister agencies regarding questions and requests for assistance regarding transcripts, certification and recertification procedures and related requests.Provides first-line technical support to county officials and employees for registering and taking classes in our LMS including guidance on how to access and complete training; serves as the main problem solver for officials and employees with technical issues.Provides support to county associations during association events as requested.Replies to customer questions/requests received from the CTAS website and web based customer service system.Assists staff in the preparation of training events.Assists with scoring of course evaluations and reports.Provides primary administrative support for training programs that include, but not limited to, instructor led trainings (statewide and online), recertification events, and Capstone events as offered.Provides IPS sister agencies and other county associations with training rosters as needed.Responsible for the collection of program/training related fees and process them in the appropriate systems to the correct payee.Under the direction of the Manager of Operations & Customer Service, works with multiple on-line systems which include, but not limited to: LMS, accounts receivable, invoicing, and the University's SAP system and travel system.Input professional development into the University's HR system and assist staff with data entry on major projects.Creates, compiles and analyzes various reports from multiple on-line systems.Assists staff with the University's contract management system.Assists with maintaining and updating the LMS related to County Officials Certificate Training Program (COCTP) as well as other CTAS training programs.Other duties as assigned by the management team.

Qualifications
Required Qualifications:
Education:   
Position requires High School Diploma or equivalent. Associate Degree with emphasis in office administration preferred.

Experience:    
 Three years of work experience in office administration.

Skills:   

Position requires excellent interpersonal skills both verbal and written. Ability to deal with complex questions in person and over the phone. Must have ability to interact with diverse customers, customer staff and agency staff.Candidate should exhibit proficiency in Microsoft Office programs, utilization of the internet and office technology. Must be able to greet customers with a positive service attitude and energetic voice.Behaviors:

Candidate must be punctual and work well with others on group projects. Position requires a calm personality that can handle customers from a variety of diverse background.
