This position will provide exceptional service and support for Facilities Services staff, vendors, and other College constituents. The accounting technician has a broad range of accounting, record-keeping and administrative responsibilities. Primary duties include accounts payable, accounts receivable, and recordkeeping. The work involves using spreadsheets, centralized database systems, facilities management software, and other computer functions. Full-Time, Non-Exempt, Hourly, Support Staff Appointment

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Coordinate accounts payable, accounts receivable, and related accounting and administrative functions
  • Maintain thorough accounting records as required; produce reports, spreadsheets, journal vouchers, and other documents as required; manage cash receipts
  • Compile status and budget data from work orders to prepare and distribute weekly vandalism reports; carry out analyses related to vandalism on a regular basis
  • Use a variety of computer software, including Excel, word processing, maintenance management (TMA), and financial ledger system (Workday), to collect, process and maintain information and provide reporting documents as required
  • Process invoices, journal vouchers, and other financial documents; assign labor and material to appropriate accounts; issue R & R project numbers, balance accounts to General Ledger, and prepare regular reports
  • Maintain department purchasing cards; verify purchases; use campus system to assign account numbers to card purchases
  • Work independently and balance multiple priorities in an organization with periods of high activity; show initiative in assuming and carrying out responsibilities
  • Act as a resource for employee questions concerning accounting and accounts payable
  • Function cooperatively as a member of the department’s administrative support team, including stockroom and purchasing technician, project support technician, and department administrative assistant; provide backup for other administrative support staff as required including answering telephones, creating work orders, and creating purchase orders
  • Communicate effectively and personably with a diverse community of people
  • Follow department safety rules and procedures
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice

QUALIFICATIONS:

  • High school diploma or equivalent required; professional coursework or post-secondary education are a plus
  • Relevant coursework in business administration or accounting strongly preferred
  • Minimum of 3-5 years prior work experience in accounting, particularly in the areas of accounts payable; additional education may be substituted for work experience
  • Must be able to work independently, exercise judgment, and manage projects with minimal supervision as well as to adjust as new projects are assigned
  • Proficiency and ability to adapt to a variety of computer software and systems
  • Ability to consistently look for ways to improve and develop efficiencies and assist with implementation
  • Organizational skills, attention to detail, accuracy, impeccable integrity, and maintaining confidentiality necessary
  • Solid communication skills in order to work collaboratively with members of a diverse community and to provide excellent customer service

KEY RELATIONSHIPS:

Reporting to the director of business and administrative services, this position interacts with department administrators, supervisors, and employees; faculty, staff, and students; and a variety of outside customers, vendors, and visitors.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

Normal working hours for this position are Monday through Friday, 7:00 AM to 3:30 PM. Additional hours will be required at certain times of year. Work area is a general office environment in a facility that accommodates some maintenance operations. Occasional visits to other areas of campus required. Occasional lifting is required. Computer usage involving repetitive hand/wrist motion is also necessary.
